The number of people who do not use agendas for meetings is startling and disappointing because not using an agenda is ineffective. I also like to stick to a "Top 3" approach. If you've got more than 3 topics to cover, you need another meeting or another form of engagement. It is very discouraging to enter a meeting and know you will not cover all of the items listed due to time constraints and busy schedules. "If your meeting will cover more than one or two orders of business, Abrahams says, an agenda will help: List the items to be covered, who the item’s owner is, how long the item is expected to take, and whether the item is up for discussion, informational only, and/or requires action. And for best results, be strategic about the order."

This great article from the Harvard Business Review, outlines practical ways to ensure you're having productive meetings: Step 1: Know why you’re holding a meeting. Step 2: Craft a clear agenda Step 3: Prepare your talking points Step 4: Help your participants prepare, too For me, I always start meetings with outlining our desired outcomes and align the agenda accordingly.
