Too many meetings do nothing but drain energy. Let me help you out of the meeting madness. First, reflect on a few questions: . How many hours a week do you spend on meetings? . How many meetings end with no result or a follow-up meeting? . How relevant was your participation in it? . How long did it take for you to understand why you were there? Before Covid-19, we had at least a few physical limitations. Meeting rooms and limited chairs, but remote work changed that. As a result, more meetings with more people. Curiously, less value and more distraction come into place. The good thing is that changing this situation is possible. It requires preparation and organization. First, let's understand the signs of poorly prepared meetings: . Entering a meeting without knowing what it was about . Leaving a meeting without saying a word . Ending the day and feeling like nothing productive was achieved . Noticing that participants were physically present, but their minds were somewhere else Facilitation can transform that. Here's how: . Prepare the meeting by defining a goal and agenda . Choose only participants mandatory to reach the goal . Be mindful of others' time . Ensure participants know the goal and agenda beforehand . Facilitate the session so the goal remains the focus . Give the stage to quiet ones . Agree on actions . Finish the meeting once the goal is reached . Collect feedback after the meeting You need to understand how effective the sessions are to improve your meeting routine. Ask participants to rate how much they agree with the following: . The time invested and value created are well-balanced . My participation was relevant to the goal . This meeting was important for our current focus . The result is satisfactory The more participants disagree with the above, the more you can improve your meetings.
