Ever wondered what it takes to pull off an international sporting extravaganza? Eight years ago, I embarked on an unforgettable journey as the executive producer of an international sporting event that gathered athletes from the United States and Japan in the Philippines for a weekend of all-star ultimate frisbee showcase games. This project transcended mere tournament status; it etched itself as a milestone within the sports history. The process entailed orchestrating a diverse ensemble, ranging from athletes and coaches to national governing bodies, sponsors, and media production teams. It was a collaborative effort that necessitated the collective expertise of an entire village, meticulously woven together within a year of preparation. As you can imagine, coordinating the participation and cooperation of so many stakeholders demanded a complex and delicate approach. As the executive producer, my lines of communication buzzed incessantly—phone and email alike—24/7 for months on end. Allow me to offer a glimpse into the pivotal elements that shaped this monumental event: - Crafting a comprehensive plan to execute an international sporting extravaganza involving at least 50 individuals spanning three different countries. - Establishing multiple channels of communication to seamlessly interconnect various departments. - Developing a concept that seamlessly blended entertainment with realism. - Collaborating with stakeholders to procure support for every facet of the venture, spanning flights, accommodations, catering, venue arrangements, permits, media production, and live streaming. This endeavor stands tall as the most ambitious and complex project of my career. Yet, with challenge comes reward. Highlights from our latest event! 🎉 I’ve always found getting people into a room to be one of the most powerful forms of marketing and business development, and this led me to jot down a few thoughts on what I think make them powerful: 𝗠𝗮𝗸𝗲 𝘆𝗼𝘂𝗿 𝗲𝘃𝗲𝗻𝘁𝘀 𝗳𝗼𝗿 𝘆𝗼𝘂𝗿 𝗮𝘂𝗱𝗶𝗲𝗻𝗰𝗲, 𝗻𝗼𝘁 𝗳𝗼𝗿 𝘆𝗼𝘂 —> focus on connecting, fostering relationships and giving a platform to insightful debate. This will create more value than a disguised sell ever will. 𝗞𝗲𝗲𝗽 𝗶𝘁 𝗽𝗲𝗿𝘀𝗼𝗻𝗮𝗹𝗶𝘀𝗲𝗱 —> we had a 95% attendance rate, and I put that down to keeping events small and making every outreach matter & personal. It's time consuming, but it's worth every minute. 𝗜𝘁’𝘀 𝗻𝗼𝘁 𝗮𝗯𝗼𝘂𝘁 𝘀𝗮𝗹𝗲𝘀 —> it's about creating a space for your partners to sharing knowledge, insights, and connect. Curate a thought-provoking space where attendees can remove themselves from their busy work lives for a few hours and have the space to delve into exciting new technologies, trends and more… 𝗙𝗼𝗰𝘂𝘀 𝗼𝗻 𝘁𝗵𝗲 𝗰𝗼𝗻𝘁𝗲𝗻𝘁 𝗾𝘂𝗮𝗹𝗶𝘁𝘆 —> you have to push yourself to deliver cutting-edge content, stats and insightful talks - ask yourself how you can push sessions to be engaging and interactive. Be honest, address the elephant in the room, talk about things that are hard in your industry, open Q&A and answer the tricky questions! 𝗗𝗲𝗽𝗹𝗼𝘆 𝘆𝗼𝘂𝗿 𝘁𝗲𝗮𝗺 —> your team is your greatest asset, especially during networking events in order making partners feel welcome and helping out during interactive sessions, get them involved where you can. 𝗦𝗲𝗿𝘃𝗲 𝗰𝗼𝗳𝗳𝗲𝗲 —> well... whilst this one is optional, it's definitely what gets me to attend events. ☕
