Maintenance planning is about defining the "what" and the "how" of the work that needs to be performed. On the other hand, Maintenance scheduling is about defining the "who" and the "when" of the work. In some organisations these roles are combined where a single individual is responsible for both activities. In others, they are separate where the activities of planning and scheduling are performed by different people or even groups of people. Whatever the model, our experience suggests that these are some of the least well defined roles in a business. We find this interesting because when done well, maintenance planning and scheduling has the potential to unlock significant value. How does maintenance planning and scheduling take place in your organisation? Has a planning and scheduling business process been defined and does everyone know about it? While collaborating with a recent client, we discovered, through a site wide ReliabilityFocus™ Maturity Assessment, that maintenance planning was nearly non-existent despite having a designated 'Maintenance Planner' in place and actively performing the role. To gain deeper insights, we conducted a 'Day in the Life of the Maintenance Planner.' The findings were intriguing - out of all the tasks the Maintenance Planner undertook in a week, 67% were unrelated to 'Maintenance Planning.' While there are multiple causes for this situation, similar occurrences are prevalent in other organisations. For job roles to thrive, there must be clarity between the company and individuals regarding roles and expected responsibilities. Effective job descriptions serve as a clear guide for understanding what is expected, ensuring alignment of efforts with job requirements. Are you looking to improve your fixed plant operational maintenance? Prioritizing maintenance tasks is key to supporting reliability. Non-critical equipment or unlikely failures shouldn't be as high priority as those involving critical assets. Focus preventive maintenance efforts towards reducing failures that represent significant risks to your operations. When it comes to maintenance planning, keep in mind that it's not just about setting a schedule. A maintenance planner should be out on-site, fully aware of potential issues that could complicate the job. Access or safety problems could arise, so having someone who understands planning principles and has ordered thinking and communication skills is crucial. If you're ready to hire a planner or evaluate your current planning position, consider these critical characteristics: experience, understanding of planning principles, being a people person, and having ordered thinking and communication skills. Don't underestimate the importance of having the right person in this role.
