When booking a venue for your event, it's easy to get caught up in the visuals and forget about the logistics. One crucial question to always ask: 'Is there another event scheduled in the same space immediately before or after yours? Will someone still be loading out while you are supposed to begin setting up?' Knowing this can help you plan for setup and breakdown times, avoiding any last-minute rush or conflicts. What does it take to turn an idea into an unforgettable event? Spoiler: It’s not just about planning—it’s about anticipating every detail before it even happens. In my role as a Conference Event Planner at Tarrytown House Estate, I’ve learned that preparation is more than just creating a timeline. It’s about planning for the unexpected, knowing that when things go wrong (and they will!), your backup plan is what saves the day. Communication is the glue that holds everything together. Clear and constant conversations with clients, vendors, and my team ensure that we’re all working toward the same goal. And above all, the guest experience is what matters most. Whether it’s setting up a welcoming space or making sure everyone feels taken care of, the true measure of success is how your guests feel when the event ends. Flexibility has also been my best tool. Events always come with surprises, but adaptability allows me to turn challenges into opportunities. And no matter how many events I plan, I’m constantly learning something new—whether from a mistake or a new mentor. Let’s talk about picking a date for your corporate event! This step may seem like a no-brainer, but it’s worth discussing because it’s actually easier said than done. Picking a date can be especially hard for companies with employees and clients that work beyond traditional business hours. Here are some things to consider when picking your date: -Avoid Mondays, Friday afternoons, and holidays/school closings -Consider your attendees’ schedules and plan for the date that will be a draw -Reserve the event venue in advance of sending invitations -Be sure you can secure additional caterers, internal staff, or A/V technology if need be -Order your centerpieces and materials in advance -If the event is outdoor, prepare for any sudden shifts in the weather If you’re having trouble picking out a date or want to make sure your dream attendees can make it, let’s talk about how to make sure you’re choosing the best date! #conferences #corporateevents #corporateeventplanner #retreats
