I am a content creator and video production enthusiast with over a decade of customer service experience. I am proficiency in photography, graphic design, copywriting, and possess solid knowledge in finance as well.
I'd like to share some thoughts on what a good customer service team should do when problems arise. This topic came to mind because of an issue I've experienced at my apartment recently. Since LinkedIn often discusses job-related topics and customer service is relevant to all jobs, I believe it's worth talking about. Recently, the weather in Toronto turned hot, and our management office had promised to switch the heating to AC by May 27. However, by May 29, my unit was still stuffy and hot, even with the thermostat set to 16°C. I emailed the management office to ask about the AC issue. Within 30 minutes, they sent an email to all tenants (not just me, but fortunately not on top of my email) explaining that the AC was still under maintenance. While the quick response might seem impressive, it didn't address me directly, suggesting that many tenants had the same question. This impersonal approach felt rude, much like asking a store representative a question and having them shout the answer to everyone without acknowledging you. The main problem here is that the management office didn't proactively report the issue. If the responsible party doesn't communicate problems, several issues arise: 1. Customers ask many questions because they are unaware of the problem, causing stress for frontline staff. 2. Customers may feel that management is hiding the truth, leading to a loss of trust and loyalty. Future issues will result in more unrest and harder-to-handle complaints, further burdening frontline staff. 3. Ultimately, customers may lose trust in the management and leave. To retain customers, management should proactively report issues. Yes, customers might be angry, but if you promise to follow up, some will appreciate your honesty and look forward to seeing the problem resolved. Effective problem-solving can increase customer loyalty and confidence in management's abilities. Perhaps the high demand for housing in Toronto makes this management office less concerned about customer feelings, knowing they can always find new tenants. Ever transitioned a property completely by yourself? 🤨⤵️ Today I get to say that I added that to my track record😮💨 After being on this assignment for the past 30 days, today I got to lock the doors and hand over the keys purely alone. And MAN did it feel good! While every property I’m called to has their own particular set of obstacles, it’s always rewarding getting to the finish line overcoming each and every one. When I accepted this assignment, this community had no manager, leasing agent, assistant manager, porter, or maintenance technician (thankfully we had a Supervisor!). So what does that mean? I immediately became it all! Within these last 30 days, I completely transformed this asset, increasing the leasing percentage, lowering delinquency more than 70%, and most importantly restoring this asset to the beautiful community that I knew it could be. How? Patience, dedication, persistence, and a bit of delusion 😂 I was always taught that if my last name is behind my work, I cannot do anything less than exceptional. Being able to uncover the spark in one of my employees eyes after them confiding in me with their struggles, was the most valuable part of this assignment for me. EVERYONE wants to be acknowledged for their hard work and told that they are important in some capacity. In what ways, as a leader, can you mold yourself to show up in the best way for the ones you’re leading? Stay committed! As my mother used to say, everything is temporary. So work your hardest while you can. After getting my final move in’s housed, last minute work orders addressed, invoices submitted, reports sent out, vendors contacted, I got to lock the office happy. Happy that I left something in a better condition than when I arrived. Remember, the hardest part of anything is the part we don’t know.
