"Happy to make no amends!" This was the feedback I got from one of our agency clients on a case study we've just written about how we enable them to offer their clients more services, deliver projects quicker, and grow without taking on new staff. We've secured a couple of clients recently and it's been interesting to see their thoughts on why they didn't go for proposals from other providers and chose us. The common themes 👇 "The proposals we've seen have so many third party plugins that they're costing more than the actual build of the platform". "The day rates for work that's out of scope is just too much, we're worried the costs are going to spiral". How we try to set ourselves apart 👇 At Yellow Panther we've built IP's, such as our in-house CMS, Digital Asset Management System, Data dashboard, Push Notification Platform and Video Player. We offer retainers where we bolt in development/design days so you don't get crushed in terms of work that's out of scope. I've worked brand side my whole career and it happens time and time again, where agencies squeeze the brand dry in terms of out of scope work and third party tools that cost the world. If you're building tech, it's hard to justify the massive costs that some third party tools set. It's important to test the water, prove the value proposition first before making that huge risk in terms of investment. We always put the needs of our clients first and don't see them as cash cows. It's how we've scaled and it's not rocket science.

When scaling (or stabilising) agencies, I’ve consistently seen (and regularly fix) five operational roadblocks that stifle success. Here’s how to recognise (and fix) them: 1. Process Overload: As teams grow, workflows can become bloated. One agency I worked with cut project timelines by 30% by regularly auditing processes and automating repetitive tasks (including approval steps). Take stock and prune the waste activity. 2. Talent Gaps: Relying solely on full-time staff can limit flexibility. An agency I supported built a hybrid talent pool of freelancers and full-time staff to boost resourcing capacity without increasing overhead. Build out your black book of contacts and leverage freelance platforms for specialised skills and seasonal need. 3. Client Onboarding Delays: Your cashflow and revenue recognition can rely heavily on getting client projects rolling. A PR agency I worked with cut onboarding time from 2 weeks to 3 days by standardising intake processes with a CRM/workflow, preset documentation/templates and project initiation automation. 4. Tech Silos: Disconnected tools will slow down communication and projects. Consolidating project management, invoicing, and communication onto a single platform can cut delays. Integrate your tech stack so teams work in sync and reduce wasted time. 5. Leadership Bottlenecks: This can be a biggy - decisions stuck at the top, slowing progress. An ecomm agency I advised sped up key decision-making by 48 hours (making a huge difference to throughput).
