🔍 Maintaining Efficiency in Workday: Cleaning Up Unused Calculated Fields and Custom Reports In our journey with Workday, we often create numerous calculated fields and custom reports to meet our specific business needs. However, as time passes and business requirements change, some of these fields and reports may no longer be in use. Regular maintenance of these elements is crucial for keeping our Workday system streamlined and effective. 🧹 Cleaning Calculated Fields 1. Identify Unused Fields: Check if the field is used in any reports or integrations. If not, it's likely unused. 2. Delete the Field: Remove the field from the report, then search for the field using the prefix field. If the field is found to be blank, it can be deleted. 🧹 Cleaning Custom Reports 1. Identify Unused Reports: Look for reports that haven't been run in the last 6 months or have been executed less than 10 times in the last 6 months. 2. Check Ownership: Cross-check the report owner with the active employee list. Reports created by people who no longer work at the company might not be working or actively used. 3. Delete the Report: Once you've identified an unused report, it can be deleted. Remember, regular review and cleanup of unused and empty data sets in Workday is crucial for maintaining the accuracy of reporting and reducing the risk of error. Let's make it a habit to periodically review and clean up these elements to ensure our system remains efficient and accurate. Workday Tip of the Day: Workday has helped CLEAResult consolidate multiple HCM, Financials, and IT applications into one single source of truth in Workday! CLEAResult is a Texas based company that helps utility companies make smarter and more efficient energy decisions. The company realized it had 17 different applications across financial planning, financial reporting, payroll, talent acquisition, and other systems through multiple acquisitions over the years. All of these solutions made the company very inefficient as well as very costly to operate. Ultimately the organization had to make a decision to go to a single solution. Ultimately they chose Workday for multiple reasons. The fact that Workday is cloud based was a huge factor to allow for improved efficiencies and costs. Workday's ability to support procurement and its mobile friendly interface was incredibly appealing as well. CLEAResult ultimately went live on Workday in late 2017 and added Adaptive Planning a year later.
