The Billing & Collections Administrator will play a pivotal role in our organization, with a primary focus on billing operations. Working with our Payroll and Accounting teams, the Billing & Collections Administrator will create and distribute a high volume of client invoices with an eye for accuracy and seamless delivery to meet our time-sensitive deadlines.


In this role, you will:

  • Process bi-weekly invoices for all clients using Bullhorn One software.
  • Review client invoices for accuracy and proper backup.
  • Send invoices to clients based on billing type.
  • Post remittances to client accounts for payments received.
  • Investigate all over and/or under payments.
  • Manage and maintain purchase order balances for clients and update for spending.
  • Monitor accounts receivable balances and follow up on overdue payments.
  • Attend bi-weekly collections meeting with Sales and Finance leadership.
  • Review and maintain placements within Bullhorn One software.
  • Generate weekly reports for Sales team and clients.
  • Communicate directly with clients as needed.
  • Maintain accounting mailbox inquiries.
  • Other duties as needed.


Qualifications:

  • High School diploma or GED certificate required (Bachelor’s degree is preferred).
  • Must be proficient in Microsoft Office including Outlook.
  • Must be very meticulous with details, extremely organized, and understand how to prioritize deadlines.
  • Basic knowledge of QuickBooks.
  • Quick study when learning new processes and systems and adaptable to new environments.
  • Knowledge of Bullhorn One software would be beneficial.
  • Committed to a minimum of 2 days on-site (Tuesday/Thursday) in our Exeter, NH office.
