Got a messy pile of unused Customer Deposits? 💸 Let me show you how to clean them up in seconds using Journal Entries: As a NetSuite expert, I’ve helped many clients tidy up troublesome leftover deposits languishing in their accounts. This tricky issue arises when: A customer deposit is created to cover a sales order But then the actual invoiced amount differs Leaving an unused balance remaining in the deposit For example, say a $100 deposit is made for a sales order. But the final invoice is $90 due to discounts or other adjustments. That leaves $10 unused in the original deposit. These lingering deposits can clutter up your books. But Journal Entries make cleanup simple: First, determine the unused deposit balances. Next, create Journal Entries to write off these leftover amounts: Debit your AR account for the deposit balance Credit an expense account like Bad Debt Then apply the Journal Entry to the open Customer Deposit. As long as the journal amount matches the unused deposit amount, it will zero out the deposit when applied. The deposit will show fully closed, while the invoice moves to a Paid status. No actual customer payment record is created in this process! To automate this for massive cleanup, build a map/reduce script: 1️⃣ Search for open deposits 2️⃣ Create & apply journals 3️⃣ Bulk process deposits in seconds Whether you have a few lingering deposits or a huge backlog, this straightforward process lets you clean up your books with ease.
