Get everyone onto the same system/ workflow as soon as possible. Even if it's extremely painful. The longer you run two parallel systems the worse it will be for all stakeholders. Rip off the bandaid.

In my experience that was the most difficult part of our mission as people managers . Away of money ; we have to commit and communicate the new exit company strategy and at the same time to consider people moral - communications should be done by direct manager and he must be the only communication channel because many parties may deliver same message with different attitude which will negatively affect on the employee - during the communication it should be transparent and ensure that the decision came from company strategy with clear business plan not based on individuals desire - don’t say anything negative about performance but focus on what went grate and achieved by their contribution over time - keep in touch with them as an advisor
