You have a new coaching client with confidentiality concerns. How can you address them effectively?

When onboarding a new coaching client with confidentiality concerns, it's crucial to address these from the start to create a safe space for their growth and development. I begin by explaining what coaching is and what it is not, and provide a coaching agreement that explains confidentiality policies. Additionally, I encourage an open dialogue and assure clients that sessions are a judgment-free zone where they can express themselves openly without fear of information being disclosed. These steps help build trust, which is key to conducting effective coaching sessions and often confidentiality concerns naturally dissolve.

An open discussion with your client about their confidentiality concerns is the starting point. Be transparent, completely truthful and outline what you have been instructed by the company to do. Gain the clients trust by being authentic and 'real'.

Like all ICF Certified coaches I send the International Coaching Federation Standard of Ethics before the first meeting. There is written that confidentiality it the most important rule to follow for an ICF coach. In the first meeting I assure the client that I will never share any kind of information with anyone else, included the company paying for the coaching (when the client gets paid coaching from its company). Choosing a certified coach is the first step to know which rules the coach follows. Then the personal chemistry, the transparency about how I operate and the relationship we build contribute to building trust.

I address confidentiality concerns by clearly outlining privacy policies and establishing a safe space for open communication. For example, I once worked with a client who was hesitant to share personal struggles. I reassured them by signing a confidentiality agreement and sharing anonymized success stories of past clients, emphasizing the transformative power of vulnerability within a secure framework. This approach fostered a trusting relationship, allowing the client to engage fully in the coaching process, leading to significant personal and professional growth.

Start by listening to their concerns. Listening will do two things: 1. It will showcase your expertise and professionalism 2. It will encourage trust Once understood, you can provide encouragement. That could be through your data protection processes, testimonials or worst case – contingency plans. The goal is usually to help remove the risk in their mind and help them feel secure.

To address concerns, I draft customized legal agreements that detail the specifics of privacy and data protection. For instance, when a high-profile entrepreneur sought coaching but feared information leaks, we created a tailored non-disclosure agreement (NDA). This NDA explicitly stated the boundaries of confidentiality, the legal repercussions of breaches, and was aligned with local privacy laws. The entrepreneur felt assured, enabling us to delve into sensitive areas that led to breakthroughs in their leadership approach, all within a legally secure and trustful environment.

Create a clear, comprehensive confidentiality agreement. Use plain language to explain terms. Cover all aspects of privacy, data protection, and information sharing. Encourage the client to ask questions and seek clarification.

Action speaks louder than words. Trust will go away if the client finds or even feels that you are not walking your talks. So make sure you are doing what you agreed to do and immediately address any concern the client has, so that it does not aggrevate.

In coaching I orient myself to the client. I use an IT provider (SOLOPRO) that secures my data and make sure all privacy and cybersecurity software are installed. If the client want to communicate through WhatsApp instead of Outlook mail, I remember it that this is not a secure way of communicating (written also in the coaching contract) but I do as required. Of course I pay attention to avoid writing anything that can be personal in the chat and continue using encrypted communication for the Webcall links.

I usually encourage my clients to set the pace of sharing, which builds autonomy and trust. For example, a client was initially reserved, but through active listening and affirmative questioning, they gradually opened up about their leadership challenges. We co-created a personalized action plan that respected their boundaries, yet encouraged self-disclosure at their comfort level. This approach not only alleviated their confidentiality concerns but also led to a deeper understanding of their leadership style, resulting in a more authentic and effective personal development journey.

While I set the pace during every session and assure the client confidentiality is my priority, there is one case only when I ask the client to make an exception. If I the client is in a psychotherapy journey, I ask the client to inform the therapist about the coaching sessions. Not about the content of course, but about the work we are doing together. It´s important that coaching and therapy remain complementary and each of the professional know about the other to make sure the right support is in place and the client has well in mind the differences among them.

Give clients control over their information. Discuss what can be shared, with whom, and under what circumstances. Establish clear boundaries and explain any legal exceptions to confidentiality. Regularly check in about comfort levels.

Confidentiality is key to build trust. Client concerns can come from different sources - personal, workplace. As an ICF PCC I always share the Code of Ethics that I follow. Most sensitive is when coaching is sponsores by a third party. In my experience I always make this very clear at "empathy" session, before the coaching process starts. For me, in these relationships things that are not confidential is a status of the sessions - when they happen, for governance / contract management, things that are discussed with the presence of others (HR and leader), as I can´t guarantee it, and if there is any criminal intention, based on country and international laws. Usually client reactions are very positive to this open approach.

Show empathy 🫀 and understanding, and assure them that their privacy matters. By demonstrating active listening, you create a safe space for open communication and reinforce your commitment to maintaining confidentiality.

I integrate confidentiality with a growth mindset by emphasizing continuous improvement in our sessions. For instance, a client worried about privacy grew comfortable as we progressively built trust. We started with less sensitive topics, gradually moving to deeper issues as confidence in our confidentiality measures grew. This mirrored their professional journey, where they learned to trust their team with sensitive projects, leading to enhanced collaboration and innovation. Their initial concern transformed into a strength, showcasing the power of a growth mindset in creating a secure, yet dynamic coaching relationship.

I have never faced a concern like that after having worked with about 100 clients for 1:1 Coaching. Now question is what do I do ? It's simple. In the first meeting itself I announce - Trust is a given. And if coachee asks me about a proof my answer it: "Can you name someone whom I might have coached in last four years since becoming a coach? All my coachee like you have come from Linkedin. Have you ever read a story, and I have been writing everyday for last more than a decade, with any reference whatsoever of a coaching session or a coachee." Response is - "RS, that's why I am here." You need to spend a lot of time to build trust. It doesn't come out of signing of agreements. I have never signed an agreement with an individual coachee..
