You’re feeling overwhelmed at work. How can you take a break and still stay productive?
Feeling overwhelmed at work is a common problem for many administrative managers. You have to juggle multiple tasks, deadlines, and expectations, while also maintaining your own well-being and performance. Sometimes, you may feel like you need a break, but you don't want to fall behind or lose your momentum. How can you take a break and still stay productive? Here are some tips to help you balance your workload and your wellness.
The first step to taking a break without compromising your productivity is to identify your priorities. What are the most important and urgent tasks that you need to complete today, this week, or this month? What are the goals and outcomes that you are working towards? What are the tasks that can be delegated, postponed, or eliminated? By clarifying your priorities, you can focus on the essential work that needs your attention and energy, and avoid getting distracted by less important or irrelevant work.

The second step to taking a break without compromising your productivity is to schedule your breaks. Don't wait until you feel burned out or exhausted to take a break. Instead, plan your breaks ahead of time and stick to them. For example, you can set a timer to remind you to take a 10-minute break every hour, or a 30-minute break every four hours. During your breaks, do something that relaxes or refreshes you, such as stretching, meditating, listening to music, reading, or chatting with a friend. Avoid checking your emails, messages, or social media, as these can add more stress or distractions to your day.

The third step to taking a break without compromising your productivity is to set boundaries and expectations. This means communicating clearly with your colleagues, clients, and supervisors about when you are available and when you are not. For example, you can set an auto-reply message on your email or phone to let people know that you are taking a break and when you will respond. You can also use a calendar or a status update to indicate your availability and your working hours. By setting boundaries and expectations, you can reduce the interruptions and demands that may interfere with your breaks and your work.

I am very clear with clients and communicate what my boundaries are. There are settings in the tools and programs that I already use to communicate these boundaries, which makes it easier to stick to them. In my Google calendar, I set my office hours. If I am sent a meeting invitation that is outside those office hours, it will automatically be declined with the message that it falls outside my office hours. My email "out of office" autoresponder is always on. I don't live in my inbox but rather have time blocks every day to read and respond to emails. The autoresponder messages let the sender know that I have received their email and will reply during the next email working block.

The fourth step to taking a break without compromising your productivity is to use tools and strategies that can help you manage your work more efficiently and effectively. For example, you can use a to-do list, a calendar, or a project management software to organize your tasks, deadlines, and progress. You can also use a timer, a pomodoro technique, or a batch processing method to divide your work into manageable chunks and focus on one thing at a time. By using tools and strategies, you can optimize your workflow and reduce the overwhelm that may cause you to need a break.
-
The fifth step to taking a break without compromising your productivity is to reward yourself. This means acknowledging and celebrating your achievements, no matter how big or small. For example, you can reward yourself with a treat, a compliment, a gratitude note, or a fun activity after completing a challenging task, a project, or a goal. By rewarding yourself, you can boost your motivation, confidence, and satisfaction, and make your work more enjoyable and meaningful.
-
The sixth and final step to taking a break without compromising your productivity is to take care of yourself. This means paying attention to your physical, mental, and emotional health, and addressing any issues or needs that may affect your well-being and performance. For example, you can take care of yourself by getting enough sleep, eating well, exercising regularly, hydrating properly, and seeking support when needed. By taking care of yourself, you can prevent or reduce the stress, fatigue, and burnout that may make you feel overwhelmed and unproductive.
-
