What do you do if your workplace productivity is stagnant?

By working in short cycles, teams adapt to changing requirements swiftly, ensuring continuous improvement and timely delivery. In my experience agile helps to dissect projects into manageable pieces, which helps teams to refocus on what matters. How can we deliver each small piece while making sure that it's relevant to our end users/clients? There is also a heavy emphasis on collaboration with not only your team but also end users, clients and other stakeholders. The mindset is something that needs to be adapted company wide and there can be some growing pains but once you go through the different levels of maturity, this can transform the overall company culture in a positive way.

Stagnant workplace productivity can be frustrating for individuals and teams alike. To address this issue, a multifaceted approach is imperative. It's important to tackle both systemic and individual factors contributing to the problem. Continuous improvement and adaptation of strategies as circumstances evolve are crucial to enhancing productivity. Monitor the impact of implemented changes and remain open to adjusting approaches based on feedback and outcomes. Remember, success in boosting productivity is achieved through sustained effort to create an environment where employees are equipped, motivated, and empowered to contribute their best work. Agile methodology is a project management approach that involves breaking the project into phases and emphasizes continuous collaboration and improvement. This focuses on continuous releases and customer feedback. The team follows a cycle of planning, executing and evaluating.

The underlying concept of any agile methodologies is that time is limited (sprint), de-scope the work so it can be completed in a sprint, fail-fast and continuous improvement. Scrum framework, Extreme Programming, Kanban, and other framework or techniques will help you to implement the agile concept.

Agile methodologies indeed enhance workplace efficiency by emphasizing priority, rapid delivery, and continuous feedback, leading to significant time and resource optimization. By prioritizing collaboration and iterative improvement, they cultivate an environment where quality and accountability thrive, ultimately driving project success and stakeholder satisfaction.

The goal of Agile is to create the highest business value in the shortest time in a sustainable way. This means that the most valuable and urgent features are focused from the beginning onwards and also Agile methodologies are beneficial by making us to deliver the working product faster, early and more frequently.

It helps teams to focus on what is important and allows them to deliver that in small/manageable pieces. This makes capturing data about your sprints much easier and it also helps to show trends/progress. Teams can also focus more intimately on the quality of work as well. Through each iteration, teams can learn more about themselves and take deliberate steps to improve in comradery, communication, technical skills and delivery. Better delivery will result in improved product confidence and improved brand reputation. There is also a focus on maturity because the aim is to become a high functioning self-managing team. This can also positively impact work life balance.

There are several Agile frameworks. The most popular, commonly and wide used frameworks are Scrum, Kanban, eXtreme Programming, Lean, DSDM, Crystal, Scrumban etc. Each framework has its own pros and cons. Choosing and adapting an Agile framework should depend on the context, goals, organizational policies, adherence, environmental factors etc.

START SMALL! Learn the agile mindset, explore the meaning of agile manifesto (4 values & 12 principles), get familiar with scrum framework (3 roles, 5 events, and 3 artifacts) and kanban technique, find a pilot project, improve along the way, join community, learn from the experts and books, and scale-up the adoption. You will do just fine.

Some challenges and pitfalls of Agile methodologies are: 1.Scope creep - Customer may redefine the scope which leads to Scope creep where features and functionalities are added without addressing the effect of time, budget, resources or without customer approval. 2. Quick launches can cause incomplete tasks due to time constraints. 3. Organizational level adaptability is required while transformation. 4. Sometimes, customer may not have time to be involved.

One of the things I notice is that companies want to realize ROIs very quickly but sometimes are unable to invest in an agile framework that takes full advantage of the agile methodologies. You have to focus on small wins, transparency and be deliberate about taking full advantage of the methodologies. I would also recommend that companies consult with/hire an Agile Coach or develop them internally so that they can help company wide adaption and also keep the company's agile best practices, policies or standards relevant. Agile is a practice not simply a tool that you install.

Some best practices and tips are: 1. Creating the product vision and backlog together, 2. Guidelines establishment for team communications, 3. Encouraging evolutionary development, 4. Conducting regular meetings - practicing the scrum events regularly. 5. Being Agile - not rigid. Embracing failure as an improving and learning opportunity.

Take a break. Doing sprints without break can be very exhausting. If you have delivered highly prioritized backlogs, I do think that you deserve that have a short break and celebrate your accomplishment. Ask the product owner, if you have performed and delivered, I think anyone will allow it.

By engaging the team in open dialogue, we can uncover inefficiencies, communication barriers, or lack of motivation. I'd work closely with the team to prioritize and implement actionable solutions, fostering a culture of continuous improvement. Additionally, I'd ensure that the team's workload is manageable and aligned with their capabilities, encouraging skill development to increase their capacity to tackle diverse challenges, thus enhancing overall productivity and morale.

I think we need to remember that in any practice, what we really end up doing in the long run is manage complexity. We really need to pay attention to the root cause of issues, be deliberate in managing technical debt, don't simply focus on increasing the velocity of the team because they need a break, be in it for the long term and properly recognize your team members. Also show grace to your company leaders and stakeholders as the company tries to solve productivity stagnation issues. I have found that teams tend to treat leaders as antagonists and while it is important to demand transparency from them, they are also human and not immune to stressful situations. Especially if continued stagnant productivity may lead to company collapse.
