What do you do if juggling multiple podcast projects becomes overwhelming?

The important thing when managing multiple podcasts is to ensure that you have clear project plans for each pod. Everything is a lot easier to stay on top of with clear planning. Rely on other people and don't try to keep control of everything yourself, use expertise from other people and utilise their time too. Success across multiple podcasts comes much easier when you're able to spread the workload and keep on top of the tasks that need doing with clear pre-planning. Don't wait for busy periods, get ahead and do some of those jobs you can do now while you're quieter.

The production of any podcast relies on a multitude of tasks done timely, orderly, and efficiently. If you’re hosting and producing multiple podcasts, the work will multiply and you’ll quickly feel overwhelmed. But it need not suffocate or dissuade you. Here are three strategies to help manage the process: 1. Create a Standard Operating Procedure (SOP) for pre and post-production tasks. 2. Use a project management tool like Asana or Monday.com to increase efficiency. 3. Hire fractional labor to help with high priority projects and tasks. Remember, you’ll get faster and more efficient with each episode!

Multiple podcasts are difficult to manage without a good solid team. Prioritize the work among the team with proper bifurcation of each work, which days are allocated to which podcasts are necessary. Time-sensitive activities are to be given to more provocative team members. Allocation of work as per a member's core strength is critical in any teamwork so that everyone feels fulfilled and involved.

When you're handling multiple podcast projects, it's essential to prioritize. Focus on what's most critical and needs immediate attention. Use a project management tool to keep track of deadlines and importance. By tackling high-priority items first, you ensure that the key aspects of your projects are completed, helping to reduce that overwhelming feeling.

Use any business tools to streamline the processes so that the work proceeds smoothly. After the release of AI tools, there are many tools available for business processes. Adopt them as per budget and requirements. If budget constraints are there, use Google Drive and Google Sheets. This will not only give you a boost but also give you extra time to focus on creative inputs.

Streamlining your processes can save a lot of time and effort. Look for ways to automate repetitive tasks like scheduling posts or editing workflows. Use templates for show notes, episode outlines, and promo materials to speed things up. Efficient processes mean you can concentrate more on the creative and strategic parts of podcasting.

Setting boundaries is crucial to keep things manageable. Define specific times for work and rest, and stick to them. Let your team know your availability and avoid taking on extra tasks that could lead to burnout. Clear boundaries help you ensure you have enough time for each project without sacrificing your well-being.

Stay flexible with your schedule and workflow. Understand that unexpected changes or challenges will happen, and be ready to adapt. Flexibility lets you shift priorities as needed without getting overwhelmed. Stay open to adjusting timelines and processes to handle new developments, ensuring you can keep producing high-quality content across all your projects.

I often find myself consumed with what needs to be done in my podcast and forget to look to outside sources and see what else is working in the marketplace. I often reflect and listen to other podcast and see what trends are working. I regularly connect with other casters and reflect on what's working and what's not. I think sometimes you can be totally consumed that you have to have one show per week or multiple shows per week, but sometimes it's necessary to take a slight break to provide value to your audience.

When you first start podcasting, you might have questions and hesitations such as, "What if I don't have enough guests?" or "What if I don't have enough content?" If you're feeling overwhelmed, try shifting your perspective to gratitude for having the opportunity to provide valuable content to your audience. It's important to remember that when we first began podcasting, there may have been concerns about not having enough material. Now, we have plenty of content and just need to focus on refining our systems and processes.

Ease off your workload. Burning the candle at both ends can lead to health problems. I once had the most viewed newscast in northern Michigan according to Arbitron, Neilson, and Google Analytics. I had 10X the audience as local legacy media combined in 2015. It was an internet/radio broadcast, with lower thirds & graphics; and having been a journalist for almost 40 years I refuse to call it a “podcast.” January 6th was supposed to be my last gig; broadcast 45’s speech & spend the rest of my life fishing with the grandkids.
