How can you effectively communicate changes in project scope to vendors without causing tension?

Many vendors fear any form of organizational change outside of their direct control. This is not only justified, but proves the importance of having a strong supportive relationship based in trust. Update regularly. Even if there is no information of significance, remember that silence fosters fear, and fear breaks trust. When changes and adjustments are completed, be sure to give positive feedback to everyone involved. Everyone thrives when they know their work makes a difference!

Building trust with your vendors is the cornerstone of any good business relationship. In my opinion, before even broaching the subject of changes in project scope, it’s important to first ensure that a good rapport as been established based on transparency and mutual respect. When trust is present, vendors are more likely to be understanding and flexible. I’d personally make it a habit to share news, both good and bad, in a timely and honest manner. This foundation of trust will make it easier for vendors to accept changes without feeling blindsided or undervalued.

This boils down to communication. In my experience (on both sides of the fence - as a vendor and working with vendors), communication is the make or break when changes in project scope or company direction occur. When vendors make a mistake - if they communicate that with me in a timely manner, own the mistake and offer solutions and/or make it right, that always earns my respect and trust. When a project requires scope expansion and vendors come with options as well as sound reasoning, that is always favorable. As a vendor, remember it never happens on our timelines! Even with contracts signed and in place, timeline and execution is dictated by the client. Regularly following up and being available to answer concerns is key.

Ofcourse the timing of your communication can significantly influence how vendors perceive changes in project scope. It crucial to aim to inform them as soon as possible, providing ample time for them to adjust their plans and resources accordingly. Delaying this conversation can lead to increased costs, rushed work, or strain on the relationship. By being proactive, i would demonstrate that i value their time and contribution to the project, which can help mitigate any potential tension.

When discussing scope changes, clarity is paramount. Providing a clear and concise explanation of what has changed and why. Avoid using jargon or technical terms that could confuse, opting instead for straightforward language that is easy to understand. Clearly outline the rationale behind the changes and explain how they will impact the vendor's work. With this approach i have in many occasions helped vendors grasp the situation fully, minimising the likelihood of miscommunication and tension.

Verbal backtracking is also key here - ensuring they fully understand and can communicate it back in their own words is always a great way to ensure they understand... Actively listening and being able to do the same with regards to their concerns is equally key to ensure both parties are on the same page.

I’ve found that empathy plays a crucial role in maintaining harmony during scope changes. It's important to acknowledge any additional work or challenges the changes may impose on the vendors. Showing understanding for their position and being prepared to discuss support or compensation if the changes significantly alter the agreed terms. An empathetic approach can soften the impact of scope changes and foster a cooperative attitude, helping to preserve the relationship with the vendors.
