The product owner should then prioritise them depending on the clients requirements. Any change to the goals or scope should only happen with set procedures.

Additionally, ensure that your SMART Goals have a clear and tangible outcome to prevent getting caught up in busyness rather than making meaningful progress toward the business objectives.

Agile is all about flexibility and adaptability through which iteratively we deliver the product. However, the key is to make sure that how clear we are with the goals that need to be achieved and in order to gain value how much efforts are being put towards discussing as a team and eradicating the waste efforts that are being put. Identifying the activities that is delaying the sprint goal is key aspect and as a team identifying those and trying to fix them is pivotal for the success of the work done. As they say, waste is something that happens unknowingly. So, there is nothing to blame, but identifying them as quickly as possible will allow to speed up the progress.

Defining clear Readiness and Done criteria: Very often teams members do not know that what all prerequisites will make your work ready in the sprint Similarly, once it is brought into the sprint, which should indicate their commitment to finish it, they are not aware of what it takes to finish it. Therefore Definitions to make it ready (DOR) and Done (DOD) can make a huge difference.

Planning a Sprint should always focus on agreeing on a common goal. I think estimating should be avoided wherever possible. Instead I'd suggest to involve the team in refinement activities, allow them to feel responsible and be part of decisions. This way commitment and realistic planning will follow.

In my experience, the best way to handle related tasks is to identify the clear dependencies at the start of the sprint. Most of the time spillover happens due to the dependencies identified during the sprint tenure. The quicker these are noted, the more effective the delivery will be.

The most important unit of an Agile model is the team and uniform skill across teams, so cross-training such the Planning can stay intact by substitution of members and priorities of deliverables. Plan the sprints with items with very manageable size and complexities like 2 and 3s and not 5,8. if there are bigger ones, break them further to task and have clear acceptance criteria Please let the team plan do not make it a top-down plan and the have team accept it and run it. Only goals must be driven Top-down including acceptance criteria at the Epic level and let the team own and do the sprint planning.

1. Prioritize upfront design. Knowing exactly what to work on enables precise time estimates. If estimates consistently deviate from actuals or team members express uncertainty about tasks, reevaluate. Avoid working on unclear tickets. While this may initially consume time, it ultimately leads to greater efficiency. 2. Avoid allowing work to fill the time allotted. Observe if work expands to fill available time, like developer (or more often a group of devs) consistently only doing a single ticket per sprint. Address this by discussing with your scrum master options like extending sprint cycles or switching to a Kanban board. Something to change up the cadence. If you don’t control your cadence, then your cadence will control you!

In my experience, to avoid wasting time in Agile ceremonies, it's important to plan sprints effectively, prioritise tasks based on their business value, and have a clear backlog to focus on delivering the most valuable feature. It's also important to keep the daily stand-up meetings brief and concise. Provide brief updates on progress, obstacles, and plans for the day to ensure transparency and collaboration without dragging out the meeting. Last but not least, Minimize Unnecessary activities. Avoid blindly applying the entire Agile toolset and eliminate activities that bring little value to the work, such as excessive planning, unproductive research, and unnecessary meetings.

An example of good planning is, define sprint goals, do capacity planning, have a healthy backlog, task breakdowns, team collaboration, very well defined estimation method and prioritization of work.

Ask the team to add timelines to each task and if there are any priority tasks please them out explicitly so that team can pick that task and define a timeline within , this will not only help to have a clear vision for the team to complete all the activites without wasting time

One of the 12 principles is that face to face communication is the most effective way of conveying information to the team so if I were talking about effective collaboration with Agile teams I'd start there. Nowadays yes this might involve video conferencing but I suspect many people still find in person meetings more effective when they are trying to read the room, reach consensus or resolve conflict. Transparency, respect and feedback are all vital... but FWIW they aren't Agile Principles.

Communication is the key to success. No matter what methodology you're using. Learn how to communicate effectively. Adapt to actual situation. Eg. switch from chat to video call, add more people when needed, don't overwhelm everyone, share progress on regular basis in whatever project tool you use, share blockers immediately to those affected by you being blocked even if you're busy solving them etc.

Everyone should hear the same story - if some cannot attend a discussion, document as much as possible and share it widely and openly. 3. Encourage participation - I’ve worked with many teams that had more reserved team members. Don’t be reluctant to provide opportunities for them to speak up or engage more, as this can lead to a more relatable view of the problem statements which are being addressed by the feature being built. 4. Concisely share context, objectives and roadmaps with everyone.

In the context of agile methodologies, especially from an engineering perspective, integrating certain practices from Extreme Programming (XP) can substantially elevate collaboration efficiency. These practices are: - Structured Pair Programming: This technique not only enhances code quality but also fosters knowledge sharing. - Continuous Integration: Properly implemented, CI gives confidence in implemented features - Small and Frequent Releases: Together with CI, small, more frequent releases allows for quicker feedback and better adaptability. Efecctive communication is the key. People that can solve a problem should be able to discuss in a safe environment where they can talk and take decisions

As part of every sprint retrospective, ask the team where waste can be eliminated. Make sure you and your team are aware of the 7 sources of waste and are well founded in 7 lean principles. BTW Scrum itself may demand more overhead than is needed. Consider Kanban.

Working in QA this is so important, collaborating with developers and manager in order to refine and review requirements are that much more critical when you are on a 2 week sprint !

For testing: Few ways to do achieve this in agile setup are - to create a test plan for each defined story in the scope, getting it reviewed with the team. QA engineers can then plan to add these cases in automation suite and for complex use cases do the manual testing. Can also consider UAT and regression before the release. For work review: In the sprint retrospective meeting, stakeholders can talk about what went well and what could have been done better (can range from communication/blockers/planning ,etc.) and try to incorporate that in coming sprints. This helps in better planning and continuing the good for the things that went well.

When we test the efficiency of the sprint, we need to spot the idle time and then, we need to test the ways to eliminate or decrease that idle time. Then it will increase the yield of production.

Very often agile framework is misinterpreted as a set of ceremonies that are conducted. However the true benefit lies in 'potentially shippable releases' or 'working software'. Not only should work be tested and evaluated against definition of done but definition of done also may need an update as team gains experience of the system/application and the e2e use case.

Agile provides you that flexibility where you can retrospect at any point in the timeline. Fixing issues and doing improvements simultaneously gives it an edge over traditional methods like waterfall.

In my experience retrospective plays a major role in agile methodologies. They acts as check points for teams to access the work they have done and improve before the next sprint. Teams should take time to access what they did in the previous sprints and determine areas of improvement. If this is not done properly teams could carry there mistakes till end of the product development and affect the quality of delivery.

Stop wasting time with obsolete and meaningless ceremonies. I have found many times that a development team is just an organizational unit, not really a team with one goal and focus. If team members' activities are not connected, why have daily meetings?

Transparency is key in teams working together, especially with short iterations and changes in scope. Having trust in the team will also reduce “time wasting” activities as the team spend more time on doing the work than discussing if things are on track.

If we talk about agile methodologies and frameworks then none of the events are wastage of time or meaningless but surely add value in faster delivery. However wastage can happen at valuestream level which is the starting point when the customer request comes in till the end point of delivery. Collective brainstorming with all the stakeholders on all the steps in the valuestream and understanding the wait time or waste time between productive steps and reducing the waste time by optimizing the flow can really help in saving the time and will result in faster delivery.

To maximize efficiency in Agile, effectively use tools like Jira or Azure Boards. Properly create and estimate user stories and tasks within defined epics and features. Ensure each user story and task has detailed descriptions for clear understanding. After completing a feature, review and close associated tasks and user stories, complying with the 'definition of done' and including necessary evidence. Manage incomplete tasks in the backlog, revisiting them in future development cycles to avoid neglect. This approach enhances Agile methodology application, ensuring timely and successful project completion.

Ruthless prioritization. Effective dependency management. As with all systems, it's not only about the methodologies. Work on your architecture, to allow you to reduce dependencies and waste such as delays and rework. Keep fighting the bureaucracy and challenge established processes. Run value stream mapping workshops to identify the waste and implement actions to improve the flow of value.
