The Property Information Form (PIF) is a key document at Supranational Hotels. It is a data gathering form that hotels complete upon joining Supranational Hotels. The Property Information Form (PIF) is a key document at Supranational Hotels. It is a data gathering form that hotels complete upon joining Supranational Hotels. One of the main concerns for hotels was that information required on this form was also required on other forms, with no ability to share information between forms.

The initial phase required assessment of the previous PIF. This included removing redundant and duplicated information, regrouping of data into more logical sets and general copy correction for the form and it's cover letters. The form was transferred from a Word document to Excel to allow for vastly greater data manipulation. At this stage other forms hotels are required to complete were reviewed with the ultimate goal of them being replaced by this one standard form.

The secondary phase was used for testing. Once the PIF had been restructured and redesigned it was successfully tested in-house and was rolled out as the new standard for hotels joining Supranational Hotels. Feedback from partners and hotels has been good, particularly with partners who highlighted the improved readability and structural flow.

The tertiary phase will be used to develop the backend of the PIF to reproduce the information for other forms hotels have had to fill in. This will require technical manipulation of the data into new layouts as well as process analysis with team members to ensure that the data is presented internally and externally at a standard that is sufficient for Supranational Hotels.

The final phase will be to sunset the forms that this enhanced form is replacing and conduct a period of continuous review for approximately one year to ensure that any additional adaptations can be made and that future additions or subtractions from the form can be processed without disruption to the form structure or the process it is a part of. The implementation of Salesforce across the company as a replacement for disparate data sources. The ultimate goal being to index the information and allow for better procedures, reporting and informed decisions for the business.
