We are looking for a Business Operations Administrator to deliver several aspects of our HR, Admin, Finance and IT business functions.
The role is diverse, and global, and the Business Operations Administrator will be required to coordinate elements of HR, Finance and IT, as well as other general business administration as directed.
The Business Operations Administrator reports to the Chief Operating Officer & works in partnership with our management team.
Responsibilities
Work with all stakeholders to maintain a viable & well-managed office operation that meets the goals of the organization, and exceeds the expectations of team members and senior management
RECRUITMENT
Preparing job ads
Pre-screening potential candidates and booking in interviews
Using templates and issuing job offer letters, contracts, etc.
Providing updates to the management of anticipated start dates.
TEAM
Onboarding new starters - providing personalized welcome packs; booking inductions; setting up new starters up with IT logins, etc.
Scheduling contract renewals; issuing revised contracts and ‘change of terms’ letters
Scheduling/booking appraisal sessions; managing/filing appraisal documentation
Organizing all-team monthly meetings
Initiating and managing leave & expense approval processes
Liaising with company accountants on monthly payroll
Managing/updating policy documentation
Offboarding: organizing exit interviews; removing leavers from IT systems, etc.
OPERATIONS
Organizing training sessions
Managing user licenses for all IT systems & platforms
Managing email; assigning/removing users
System admin for main drive; ensuring appropriate file & folder access
Carrying out regular security sweeps
Helping to troubleshoot IT access issues
Updating user guides and policy documents where appropriate
