Job Summary


The Closeout Team (CPC) ensures that all closeout requirements have been met prior to handing projects over to PA for closure. Team members are required to: (1) understand required closeout tasks of each business partner (listed to the right for reference), the status of each business line and any associated risk to closing projects on-time, (2) validate that all service and material purchase orders have been reconciled and have no encumbrances (each PO is checked in OneLink), (3) all equipment and furniture is received and paid, (4) deductive change orders and contract reduction processes in eBuilder are complete to close open commitments, (5) ensure all project receipt accruals (PRAs) have been cleared, (6) verify all retention has been paid, (7) ensure all invoices and eBuilder processes are complete, (8) check that reclasses have been completed, labor/recharge has been "turned off" and contracts are closed, and that (8) all OSHPD projects (Hospital Projects in CA require permit sign off by the Office of Statewide Health Planning and Development) are closed in compliance.


Integrity, timeliness, and being detail oriented are critical to ensuring all commitments are closed by the specified due date. If not done correctly or timely, it could impact how projects are capitalized and depreciated leading to mistated financial reporting and it could impact medical centers by having to pay for invoices out of their operating budget.


Essential Responsibilities


  • Ensure that Consultant/Vendors and Stakeholders closeout activities are performed in compliance within the context of the Contract and NFS Policies and Procedures. Where compliance issues may arise, communicate to the appropriate party(s) so that errors or corrections are made in a timely manner.
  • Update and maintain closeout tracking log as needed.
  • Point of contact for Service Delivery and relevant stakeholders for closeout of Capital & Expense Projects.
  • Daily communication and understanding of work required of internal/external business partners: Project Managers, Superintendents, Project Engineers, Construction Managers, COE Team Members, Vendors, KPIT, Buy-to-Pay, National Inspection Services, Clinical Technology, SDT Finance, Property Accounting, and Facilities Portfolio Information Services (FPI).
  • Utilize multiple systems and reports for close out specific activities and communications.
  • Perform necessary variance analysis to identify and resolve any discrepancies in systems of record.
  • Where applicable, ensure the project is closed in compliance for OSHPD projects in California.
  • Ability to reconcile purchase orders in OneLink. Work with Project Managers, Buyers, and Vendors to troubleshoot solutions for PO match exceptions and receipt accruals.
  • Responsible to provide closeout support for multiple service areas/regions.
  • Coordinate & collaborate with other team members to streamline processes and create workflow efficiencies.
  • Collaborate process improvement and enhancements to workflow and tools.
  • Collaborate with staff on complex issues.
  • Maintain a thorough working knowledge of pertaining to KP systems, partake in necessary trainings to enhance system skills.
  • Exercise considerable judgment to make decisions for undefined & complex issues.
  • Contribute to the achievement of the department’s metrics and other objectives.
  • Responsible for attending weekly team and other meetings as needed.


Job Qualifications


  • Bachelor's degree in finance, accounting, business, or related field (including design/construction management/finance) and a minimum of one (1) year in a financial analysis and/or accounting role in architectural, design, contracting, and project management or construction environment.
  • In lieu of a bachelor’s degree, equivalent work experience of three (3) years may be substituted for a total of four (4) years’ experience.
  • Data analysis experience.
  • Contract and vendor experience.
  • Experience working with or directly involved with projects and PMS.
  • Desirable: Previous work experience in the construction, materials and hospital infrastructure field.
