EXECUTIVE DIRECTOR

FLSA Status: Exempt


 

THE POSITION


The Executive Director shall be principally responsible for maintaining the continuity of the Worcester County Bar Association. The Executive Director is responsible for the management and supervision of the operations of the Association office in such a manner as to assist the Officers and Executive Committee in achieving the strategic goals set for the Association, to further the basic purposes of the Association, and to serve the membership of the Association.


The Executive Director is responsible for the administration of the Association office and staff, implementation of the Association’s priority projects, as well as marketing and publicity, member services, event planning and financial management for the Association. Emphasis shall be placed on the coordination of bar activities; retention, engagement and growth of Association membership; and serving as a liaison with the Association’s leadership as well as the courts, local government and other professional organizations.


The responsibilities of the position may be adjusted or shall be established by the Executive Committee. The Executive Director shall report directly to the President of the Association.


The Executive Director shall be an excellent communicator, with the ability to successfully build rapport amongst different members of the Association’s leadership team from year to year, as well as with local community partners. S/he will be able to work independently and as part of a team, and should be well organized with exceptional time management skills. Qualified candidates will be highly adept at using Microsoft 365 products, Adobe Pro, Zoom, Constant Contact, Quickbooks, as well as creating, updating and editing website and social media content.

KEY RESPONSIBILITIES:

 

Fiscal Management:

 

•       Prepares annual operating budget, periodic reports on finances, and forecasts as to anticipated financial outcomes of the Association each year.

•       Tracks and seeks to proactively grow sources of non-dues revenue, including sponsorship and Lawyer Referral Service (LRS) dues and fees.

•       Responsible for the supervision of all contracts and agreements and shall maintain a calendar of all insurance policies, service agreements, leases and other outside vendor agreements.

•       Responsible for the annual worker's compensation audit.

•       In cooperation with Association CPA, sees that required reports are filed and that the organization complies with all local, state and federal laws, including those regarding tax-exempt status.

•       Responsible for ensuring compliance with the approved operating budget for Association events.


Executive Administration & Management

 

•        The Executive Director shall assume a leadership role in implementing priority projects of the Association, including but not limited to technology upgrades, working in conjunction with the volunteer leadership.

•       Creates Executive Committee meeting agendas with the President.

•       Maintains Executive Committee meetings agendas and minutes and may be expected to create meeting minutes.

•       Provides input and recommendations to the Executive Committee on all policies, procedures, and program/policy development.

•       Attends meetings of the Executive Committee and reports to them monthly.

•       Oversees the implementation of programs and policies adopted by the Executive Committee.

•       Administers and oversees Executive Committee nominating/election process and acts as the liaison to the Committee on Nominations.

•       Works with the Association webmaster and staff to post registration forms, seminar content, membership information and other website content.

•       Maintains custody of the Bylaws and Articles of Organization of the Association and keeps them up to date as amendments occur.

•       Maintains administrative calendar of deadlines on insurance policies, leases and other vendors that are used to conduct the activities of the association.

 

Programs and Events


•       The Executive Director is responsible for ensuring that the necessary notices and arrangements for all Association events are sent and made in a timely manner.

•       Enters into contracts with venues and vendors that are required for events.

•        Creates marketing and publicity content for Association events and programs, including blast email notifications, social media posts, press releases, and event photos.

•        Holds primary responsibility for planning 6-10 major Association events each year.

•        Attends and oversees the logistics of all major Association events.

•       Communicates and performs “check ins” with past and present sponsors of the WCBA about the sponsorship program and continuing sponsorship opportunities.

 

Membership


•       Oversees the production of membership reports and tracks trends in membership, sustaining membership, and LRS renewals/non-renewals.

•        Acts as the Director of the Lawyer Referral Service and oversees the LRS staff;

•        Appropriately delegates or directly addresses questions, concerns, and complaints of members concerning the day-to-day operations of the WCBA.

•        The Executive Director is responsible for collecting the necessary content to publish the Association’s monthly newsletter, Legal Lines.

 

Committee and Section Support

 

•        The Executive Director works with Committee Chairs to establish dates for programs, and should have the ability to host, record, and upload virtual seminars to the Association website.

•        Maintains a calendar of all seminars and activities to avoid conflicts.

•        Serves as a liaison to all committee and section chairs.

•        The Executive Director shall maintain a list of all committee and section members


Personnel:

 

•       Responsible for the hiring, training, supervision, and termination of staff;

•       Administers staff personnel policies with support and counsel of Association;

•       Maintains personnel records of staff

•       Oversees the maintenance of all physical facilities, furnishings and equipment.
