Self-reliant and with minimal direction provide the following services:
Prepare letters, PowerPoint presentations, minute/action item recording for departmental meetings, photocopying, courier packages, off-site filing and tracking, catering, ordering office and kitchen supplies; and work with other requests from staff/contractors and visitors to the department.
Coordinate all department team building activities and large on-site/off-site department functions.
Provide administrative support for recruitment activities; responsible for providing on-boarding/off-boarding material to HR; act as liaison between HR and management when required.
Liaise with other Region Admins for consistency/back-up, and on other projects as required.
Provide support with expenses, travel booking and management, and department calendars for the manager, vacation/out of office, as well as other staff as required.
Service Now Requests – completion of requests for new personnel; update of accounts for existing personnel.
Train & provide orientation of new staff (employees, contractors/co-op students) on policies and procedures, department setup and structure, ELink usage, WorkDay, SharePoint, Oracle, Markview, travel and credit card policies; to include the rollout of new programs.
Genetec Administrator – security administrator (create/maintain security groups and access levels), creation/maintenance of security access cards, to include retrieval of security camera data.
Responsible for coding invoices and minor operating budget maintenance.
Maintain office equipment and material orders.
Generate and coordinate purchase orders for operations teams.
Assist as required in emergency response situations.
Assist team with maintaining DOT driver files.
Self-directed in managing time and priorities.
Most decision making is guided by past practice, however when appropriate, admin is expected to modify standard practice and adapt approaches to old and new tasks.
No formal supervision exercised by this position, however, the role may be required to provide basic guidance to other administrative support staff.
Communications may be verbal or written. Verbal communication must be completed with tact and professionalism. Written Communication is primarily driven by past practice but may also involve creation of original documents to relay a standard message.
The impact of the role is typically confined to the immediate area / department and may result in delays in processing administrative tasks.
Required
A High School diploma with at least one year of experience in progressively responsible secretarial and administrative support roles, preferably supplemented by continuing education courses.
Ability to multitask while maintaining attention to detail.
Positive attitude with a high level of professionalism.
Exceptional interpersonal, organizational and communication skills.
Desire to continuously learn, with the initiative to take on evolving and more challenging tasks.
Strong computer skills are required with proven proficiency in all MS Office Products.
Preferred
A certification or university degree is desirable.
Proven proficiency in Oracle Financial Applications, SharePoint, and Workday applications.
