Human Resources Assistant

Essential Functions

The Texas State Aquarium provides high quality, entertaining programming through education, conservation, and wildlife rehabilitation. We strive to provide our guests with an exciting, educational, and memorable experience.

Responsibilities

  • Complete all pre-employment paperwork and prescreening.
  • Process requests such as drug screens, background checks, sex offender checks, and motor vehicle reports.
  • Set up and preparation for orientations (schedule, bags, etc), act as back up for orientation process in the absence of the HR Associate.
  • Participate in career and volunteer fairs.
  • Assist with volunteer and staff requests as needed.
  • Conduct volunteer onboarding processes.
  • Create slides and maintain electronic bulletin boards as assigned by HR staff.
  • Assist with the planning and coordination of Employee, DEAI and Volunteer Morale Events.
  • Prepare for All-Staff Meetings including set-up, staff recognition, birthday cards, etc.
  • Set-up and preparation for all departmental meetings and HR events, including room set-up and tracking.
  • Maintain electronic filing of HR, volunteer and payroll related documents.
  • Maintain volunteer and staff databases for training and tracking purposes.
  • Perform record retention in accordance with TSA policies and procedures.
  • Assist HR staff with preparation of correspondence, presentations, spreadsheets, reports, graphs, memoranda and related materials; distribute pertinent information, scanning and filing.
  • Assist with management of the intranet data, employee and volunteer social media sites and employee communication boards.
  • Perform payroll related duties such as data entry and change requests.
  • Act as backup for Receptionist.
  • Seek donations for employee morale events in coordination with Receptionist.
  • Maintain uniform inventory and coordinate distribution.

Qualifications

A one year certificate from college or technical school or three to six months ofrelated experience and/or training is required for consideration. An equivalent combination of education or experience may also meet the required qualifications.
