Location: New York, NY (Hybrid) Must reside in the tri state area to be able to go into office.

What You Would Get To Do

In this capacity, the ideal candidate would represent the FIRST brand as an implant at one of our Solutions accounts within a leading investment bank. The Roadshow Logistics Coordinator will organize logistics, prepare schedules for Corporate management teams and consistently deliver exceptional service to our clients through excellent organizational skills and customer service skills. This position is ideal for someone who is interested in corporate event planning and financial environment and is looking to continue to grow their knowledge.

Your Contributions

  • Responsible for all planning and execution related to sector specific non-deal roadshows, field trips, & virtual events
  • Heavy logistic coordination including, but not limited to, hotel bookings, ground transportation, commercial air, venue contracting and management, catering requirements, & audio-visual requirements
  • Effective management of budgets and expense reconciliation
  • Direct contact and coordination with Corporate management teams as well as internal departments such as Corporate Access, Sales, and Research
  • Multitask to balance client demands while navigating concurrent events
  • Remain professional, responsive and polite in challenging circumstances
  • Adapt to a changing environment and respond accordingly
  • Reacting quickly to questions/problems, offering proactive solutions and support
  • Minimal travel required, on-site for programs in New York City
  • Maintaining onboarding/training documents with the most up-to-date information
  • Open to joining team councils or ad-hoc projects when asked (participate on counsels as part of the larger Marketing/Events teams) – planning calls, open exchange, corporate access marketing calls, etc.
  • Act as an ambassador for the FIRST brand, leading by example and displaying the company’s core values (Ambition, Creativity, Excellence, Integrity, Teamwork)

  • Bachelor’s Degree Required
  • 1-2 years of professional experience in a Corporate or Coordinator role with exceptional performance
  • Strong project management skills
  • Advanced working knowledge of Microsoft Office and Excel
  • Must possess strong communication skills (written and verbal)
  • Highly organized with the ability to work in a high-pressure environment
  • Handle multiple tasks to meet strict deadlines, ability to balance high-priority pop up requests
  • Excellent attention to detail
  • Excellent communication skills: both written and verbal. Ability to liaise with senior clients both internally and externally
  • Adaptability to situations and ever-changing demands
  • Accessible and responsive at off-hour times (tasks and requests by clients often happen outside of normal business hours - must be available to respond accordingly)
  • A calm and flexible approach to handling pressure and stress
  • Resourceful, ambitious and proactive
  • Creative problem solver and team player
  • Excellent knowledge of venues throughout New York and the US
  • Budgeting, cost control, rate negotiations, processing of invoices and reconciliation of roadshows
  • Team-oriented: Ability to build relationships with the immediate team, regional counterparts, other service delivery groups within FIRST, the client environment and vendors. To be enthusiastic and motivated

Administration & General

  • Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
  • Work intelligently and ensure that the Team Leader is aware of problems or issues which negatively affect productivity
  • Build excellent relations with the team through positive communications
  • Ensure knowledge is shared within the team to enable them to work smarter and more efficiently
  • Work on ad hoc requests as required, typically during quiet times

United States Residents: The base pay for this position ranges from $62,400-$80,000. This role is also eligible for an annual discretionary bonus.
