Floretta P. Carson Visual and Performing Arts Academy (FPCVPAA), a public charter school located in the heart of Mobile, AL provides a seven- year comprehensive academic and conservatory arts program to students in grades 6-12. Established in 2023, FPC VPAA is one of the premier arts schools in Alabama, where aspiring young artists have the opportunity to refine their skills and flourish in one of 16 pre-professional arts conservatories. FPC VPAA serves a culturally diverse student body across Mobile and surrounding areas. Based on the belief that creative artistry is fueled by intellectual insight, FPC VPAA prepares students for careers in visual and performing arts and/or post-secondary education by providing engaging, academically rigorous, and responsive lessons, and continuous opportunities for students to excel beyond their current ideas of creativity.

Position Description

The Registrar must create and maintain collaborative working relationships with institutional leadership, faculty, and staff and support school programs and policies as established by federal and state entities. The Registrar acts as a central communication resource for academic and policy information related to student records management. The Registrar supports the operations of the school with a primary focus on student enrollment, preparation of transcripts, and maintenance of student files.

Duties And Responsibilities

  • Oversees all operations in the registration process (record creation, course schedule building, classroomassignment, grade processing, transcript issuance, and student enrollment verification).
  • Creates, reviews, organizes, and maintains cume files and supporting documentation following schoolguidelines and processes.
  • Requests cume files from other schools.
  • Prepares and send cume files to other schools.
  • Ensures cume files are in compliance with student record keeping laws and are ready for audit.
  • Processes transcript requests.
  • Inputs transcripts into student system following school guidelines and processes.
  • Receives and send high school transcripts.
  • Calculates grade point averages if needed, class rank, and prepare honor rolls/special award lists.
  • Enters enrollment information.
  • Inputs curriculum and courses.
  • Learns and utilizes the school database system to find information and run reports.
  • Maintains physical and computerized records.
  • Performs general tasks such as making copies, answering phones, and delivering messages.
  • Coordinates curriculum enrollment and communication with vendors.
  • Coordinates compilation of compliance reports and follows-up with teachers to ensure all documentation iscomplete.
  • Respond to all school related written correspondence, phone calls, voicemails, and emails within 24business hours.

Required Qualifications

  • Bachelor's degree with progressive experience in a registrar/student services functional capacity within a 6-12 education institution.
  • Experience in working with high education-high school dual enrollment/dual degree programs.
  • Experience managing complex records systems and computer systems development in a registrar's office or admissions office (specific experience with PowerSchool preferred).
