Job Description

Job Summary:

The Customer Correspondence Analyst must be able to work independently and is responsible for overseeing the day to day functions related to tracking of Correspondence volumes, validating file transmissions, and updating and maintaining letter templates.

Will validate file transmission with vendors and reconcile volumes transmitted with volumes printed or disbursed electronically. Will identify discrepancies and work with vendor to reconcile these discrepancies. Will be responsible for updating letter verbiage, supporting non-print communication channels, and become familiar with the IT processes related to the distribution and transmission of files with vendors and to MyAccount. Assist in management of version control in Exeter’s system of record.

Job Duties

  • Reconciles transmission volume with vendor distribution to analyze all variations of volumes. Considers the relative costs and benefits of potential actions to choose the most appropriate one to ensure an effective use of Exeter’s business.
  • Identifies and resolves discrepancies with all vendor(s). Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or negotiating solutions to dispute discrepancies.
  • Builds partnerships with assigned Lines of Businesses and interact as the point-of-contact for daily business.
  • Validates vendor invoices and recommend for approval.
  • Maintains daily validation of transmission files to the vendor with timely and up-to-date information.
  • Participation in updating verbiage in outgoing correspondence to improve effectiveness and/or organizational productivity.
  • Technical review and management to track documents that are archived offsite.
  • Assist in management of version control in Exeter’s system of record.
  • Other duties as assigned.

Education And Work Experience

  • Bachelor’s degree or (2 ) equivalent work experience or combination of both.
  • Previous experience working with and communicating directly with vendors
  • Ability to work independently in a fast-paced high volume position
  • Expert in Microsoft Excel and word is a must; SharePoint and SQL preferred Ability to manage complex processes and produce reports from beginning to end.
  • Excellent verbal and written communication skills
