New Business Coordinator Job Description & Duties:

Job Type: Full-time

Schedule: Monday to Friday

Description —

The New Business Coordinator is an integral part of our organization in assisting our Financial Advisors and our team. Responsibilities include the creation and processing of advisory-based accounts, annuities, as well as life insurance applications. Along with application preparation will be the initiation and tracking of asset transfers. As a key point of contact, this person will have an opportunity to cultivate relationships with our clients and vendors. This person will ensure a seamless and transparent process for our advisors and clients as they implement their retirement plans.


Responsibilities & Activities -


  • Prepare and review applications for advisory, brokerage, and annuity contracts, as well as life insurance policies.
  • Coordinate with advisors on any potential new business and ensure any client-facing documents and illustrations are prepared for meetings.
  • Track money movement to and from accounts with follow-ups to the companies on status and resolutions.
  • Conduct Conference calls with clients and other companies to initiate asset transfers and ensure timely delivery.
  • Assist clients in their understanding of the applications, and implementation process and provide necessary guidance.
  • Be familiar with distinct types of insurance contracts: Fixed, Variable, and Index Annuities, and Whole life, Term and Disability insurance.
  • Prepare these applications and track them through the funding process.
  • Stay up to date with industry regulations and compliance requirements related to retirement planning and financial products.
  • Analyze and report to advisors on outstanding asset transfers and incoming expected revenue from pending new business.
  • Ensure advisors are up to date on all new business items and the tracking/forecasting of funds that will be reported weekly. 
  • Maintain reporting/tracking systems related to clients, assets, and production reports.
  • Have a high attentiveness to paperwork tracking, able to follow up with other companies, and confirm documents have been received and are in good order.
  • Has the potential to become a more client-facing role in holding and conducting investment review meetings with our clients.


Knowledge, Skills, and Abilities:

  • Previous experience in the financial planning industry is a MUST.

  • Proficient with Microsoft Office Suite (Excel, Word, Outlook, Planner, Teams, etc.), and Adobe Office Suite (PDF edit tools, etc.).
  • Experience and knowledge in the following programs: Morningstar, Bloomberg Terminal, Yahoo Finance, eMoney & illustration software etc.
