Executive Assistant to the VP of Administration

Ligonier Ministries is seeking an experienced, dedicated, and detail-oriented administrative support professional to join our team as an on-campus employee (remote work is not offered). In this pivotal role, you will provide comprehensive assistance to the Vice President of Administration, including supporting corporate and legal affairs with precision and professionalism. You will ensure the seamless operation of our administration department through:

  • Executive Assistance: Manage the VP’s calendar, coordinate meetings, handle correspondence, and facilitate internal and external communications.
  • Meeting Coordination: Organize and arrange logistics for several departments, board meetings, workshops, and other group events, acting as the official note-taker and preparing minutes.
  • Corporate and Legal Affairs: Assist with corporate filings, contract management, intellectual property tasks, and insurance policy renewals.
  • Board Support: Provide administrative support to the board of directors, including preparing materials, assisting with venue preparation and catering management, preparing official minutes, and following up on action items to ensure effective governance.
  • Budget Management: Track departmental expenses, process invoices, and maintain accurate financial records.
  • Documentation and Filing: Establish and maintain physical and electronic filing systems, ensuring accessibility and organization.
  • Administrative Tasks: Conduct research, draft, proofread, and format various documents, and support special projects as needed.
  • General: Assist with organizing and maintaining adequate office and kitchen supplies and general office cleanliness, access control, and workplace safety


Qualifications:

  • 5 years of administrative experience directly supporting a high-level executive.
  • Proficiency in computer applications and internet research.
  • Basic understanding of financial documents, general budget oversight, credit card and travel expense reconciliation, and general expense management.
  • Knowledge of non-profit financial and programmatic processes.
  • Familiarity with contracts and contract filing systems.
  • Excellent communication, organizational, and time management skills.
  • Interest in accounting and legal affairs is preferred.
  • Professional demeanor and presentation.
  • Commitment to Ligonier’s General Statement of Faith.


This position is for a non-profit Christian ministry located in Sanford, FL. At this time, we are only able to hire individuals who are authorized to work in the United States.

The pay range for this position is $26.00 - $31.50 per hour. Pay ranges represent the lowest to highest salary we reasonably believe we would pay for this role at the time of posting. We may ultimately offer more or less than the posted range, and the ranges may be modified in the future. An employee's position within the salary range will be based on several factors, including, but not limited to, relevant education, qualifications, certifications, experience, geographic location, and organizational needs.
