About The Team

Fanatics is a prominent and innovative organization in the sports and trading cards industry, dedicated to creating exceptional event experiences for collectors, fans, and enthusiasts. Our newest platform, Fanatics Events, provides a unique opportunity for attendees to engage with athletes, discover exclusive collectibles, and immerse themselves in the vibrant sports and trading cards community. As we continue to expand our event portfolio, we are seeking an experienced Operations Associate to join our team in NYC.

We’re looking for a creative thinker who possesses a blend of organizational, analytical, and problem-solving skills to join our operations team. The ideal candidate is someone who is willing to roll up their sleeves, get their hands dirty, and make a lasting impact on the success of our events. The role will require travel to various partners and events nationwide. While offering hybrid work options, this role requires a minimum of one day per week at our New York office.

What You'll Do: 

  • Collaborate with the operations team and General Service Contractor on all exhibitor communications both pre-show as well as on site.
  • Develop, manage and update the floor plan to ensure accuracy with weekly exhibitor list updates.
  • Serve as the primary contact for all incoming exhibitor questions.
  • Assist with exhibitor data input into floor plan and exhibitor management software.
  • Manage and resolve all exhibitor communications as well as escalations when required.
  • Establish and maintain strong relationships with third party vendors and contract negotiations including but not limited to the General Service Contractor, Audio Visual, technology, security, transportation, electrical, catering and more.
  • Budget Management, inclusive of management of show production costs, tracking spending, identifying areas of cost savings, providing monthly forecasts, and paying applicable vendors. Ensure cost-effectiveness, and work to maximize revenue and profitability while maintaining high-quality standards.
  • Foster a positive and inclusive event culture that emphasizes teamwork, creativity, and a commitment to excellence.
  • Signage planning, assist with mapping all show management overall signage plan, manage order submission, proof review, production and on site placement.
  • Management of Sponsorship execution inclusive of ordering graphics, manage and track the creative process and ensure correct placement of graphics onsite.
  • Serve as the liaison between the sales and sponsorship teams regarding floor plans, room layouts and booth regulations.
  • Main point of contact for show shipment coordination between internal teams and General Service Contractor.

What We're Looking For: 

  • 1-3 years in direct tradeshow operations or event management experience.
  • Strong interpersonal, time management and organization skills with experience in overlapping deadlines and managing complex projects or events.
  • Proficient in Microsoft Office Suite; strong proficiency in Excel.
  • Ability to adapt to changing circumstances, troubleshoot issues, and ensure successful event execution.
  • Experience with Map Your Show, EXPOCAD, a2z or a similar platform, preferred.
  • Excellent verbal and written communication skills, with the ability to negotiate, persuade, and build relationships.
  • A genuine passion for sports and the ability to translate that passion into memorable event experiences.
  • Excellent communication and interpersonal skills.
  • A high level of accuracy and attention to detail is required.

The salary range for this position is $63,000 to $82,000, which represents base pay only and does not include short-term or long-term incentive compensation. When determining base pay, as part of a final compensation package, we consider several factors such as location, experience, qualifications, and training.
