Overview

Position Summary:

The Client Intake Advocate is responsible for the client journey from first contact up until the first day at the center. They will manage a group of centers in which you are solely responsible for. Every client’s journey with autism is different from diagnosis to ultimate treatment through ABA therapy. With that in mind the Client Intake Advocate must adapt to serve the unique needs, questions, timing, and concerns from each family personalizing the experience. By listening to the client and asking qualifying questions they will be able to determine if this client would be a good fit to continue with the BI intake process.

Duties & Responsibilities:

  • Establish a relationship with inquiring families by phone, email, chat, and/or text to provide excellent customer service with the goal of getting child enrolled in our treatment center within 30-45 days from start of the intake process
  • Obtain and verify all required demographic information (client details, insurance coverage, autism diagnosis, physician referral for assessment and ongoing ABA therapy, etc.)
  • Demonstrate a high level of professionalism, through effective communication, reliability, and positive attitude in all interactions with colleagues, clients, and stakeholders.
  • Track and fully document clients information stage by stage from first call through first day in center in both our CRM and HER systems
  • Work closely with designated center staff and authorizations team to efficiently move families through the intake pipeline
  • Obtain and verify all documentation meet insurance requirements including referral, diagnosis, insurance cards, DL, etc.
  • Continue consistent follow-up based on BI admissions procedures and cadence
  • Other duties as assigned

Requirements:

  • Experience with Intake and/or sales as you will be receiving inbound calls/making outbound calls and using other forms of communication to prospective clients who have requested information about our service
  • Must be comfortable working in a fast-paced, continually changing, and results-oriented environment as part of a rapidly growing organization
  • Bachelor’s degree or relevant work experience as an Intake Specialist is a healthcare setting highly preferred
  • Ability to multi-task; listening, typing, taking notes, and work with different operating systems.
  • Experience with Salesforce and Electronic Medical Records (EMR) systems is preferred
