Position Objective:
Provide administrative and secretarial support to executive-level leadership, staff, and consultants, performing diversified functions.
Essential Job Duties:
Scheduling and Coordination
- Organize, coordinate, and schedule appointments and meetings (virtual and in-person) with various professionals.
- Manage travel arrangements, prepare itineraries, and coordinate communications for meetings and conferences.
Office Management
- Provide executive assistance and manage office functions, including document retention, supply inventory, and timely execution of contracts.
- Process invoices, prepare purchase orders, and maintain expenditure records.
Data Analysis and Reporting
- Analyze, sort, and maintain statistical information for report preparation.
- Communicate with departments to compile data for reports, draft correspondence, and provide logistical support.
Correspondence and Communication
- Coordinate all correspondence for the Executive’s office, including processing mail and responding to routine inquiries.
- Prepare, assemble, and distribute information for meetings, including taking and transcribing minutes.
Policy and Procedure Maintenance
- Maintain and update departmental policies and procedures.
- Research information to address issues and prepare responses for the Executive.
Educational/Experience Requirements:
- Advanced degree or equivalent experience.
- Five to eight years of administrative support work with increasing responsibility.
- Excellent written and oral communication skills.
- Proficiency in Microsoft Office Suite and PowerPoint.
