Primary Purpose Of Organizational Unit
The primary purpose of organizational unit is to provide patient business services to dental patients of ASOD including the Dental Faculty Practice ( DFP ) and the Student Dental Clinics ( SDC ) – at both the Graduate and Undergraduate levels – at the University of North Carolina Adams School of Dentistry. Patient visits number ~110,000 annually, with annual gross revenue of approximately $28.9M. This revenue is approximately one third of all funding and is the highest single source of income for the school. The Physician Billing Services ( PBS ) Office is an institutional support unit of the School of Dentistry and provides management support, decision support, financial analysis, account maintenance and faculty administrative support. This office supports multiple clinics, approximately 500 students/residents and over 65 full time faculty. PBS processes dental insurance claims requiring multiple steps, sends patient billing statements, provides phone support to patients, faculty, students, and other staff inquiries about billing, and works with patients requiring payment plans. The office ensures collections of receivables from Medicaid, private insurance and patients are timely and applied correctly. This office is the main point of contact with the school’s collection agency, identifies accounts for collections and responds to collection phone calls. PBS works directly with the NC Department of Revenue on unpaid accounts as pursuant to NC General Statutes. This office performs charge review for all student and resident clinic encounters as well as many for the faculty providers. The office enters charge or coding corrections, patient and insurance payments, and other revenue adjustments as needed. Knowledge of dental and medical terminology, dental procedural and diagnostic coding, medical-dental cross-coding, electronic claims processing is required to respond to faculty, student, and patient inquiries and to interact with insurance companies and Medicaid. PBS researches accounts to determine action on over 5,500 active accounts. This department generates all accounts receivable reports which are distributed to the pre-doctoral clinics, eight graduate clinics and eight departments of the DFP and other administrative offices.
Position Summary
Position is a collections and account specialist for the UNC Adams School of Dentistry. The position will be responsible for managing a daily deposit for PBS . Additionally, the position reviews delinquent accounts to ensure accuracy before reporting to the outside collection agency. Position is a point-of-contact for collection agencies and works using a secure website to provide all necessary and requested documentation on charges and accounts, report patient payments, withdraw accounts, and retrieve monthly statements. This position is responsible for bankruptcy actions, negotiating and monitoring payment plans and payroll deductions, and general account maintenance. Position is one of the primary contacts for the PBS office and is responsible for triaging foot traffic, incoming mail, and phone calls. This position is also responsible for many administrative duties in PBS such as office purchases, administering the PBS group email and voicemails, and assisting supervisors with on-boarding of PBS staff. This position will produce needed documents and forms. Upon request, this position composes drafts for review of a variety of documentation, including policies, procedures, organizational charts, and forms required by UNC , for staff use or for distribution to patients. Position works in several Epic work queues such as Bad Debt Statement Intervention and Payroll Deduction and Payment Plans not met. The position requires the incumbent to have the ability to work independently in the performance of multiple tasks to include communication with patients and insurance carriers, coordination of office duties, reports and account records management. This position also produces SODCA letters. Secondary tasks include posting patient and collections payments in Epic and the legacy system, assisting patients in filing their own insurance claims, and providing additional insurance claims information as requested by insurance. This position requires specific and detailed knowledge of all aspects of the PBS Office and the policies of the Dental Faculty Practice and the Student Dental Clinics.
Minimum Education And Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Required Qualifications, Competencies, And Experience
Knowledge of healthcare collections. Excellent level of customer service needed with the ability to work under pressure. Requires the ability to maintain accuracy when dealing with a high volume of transactions.
Preferred Qualifications, Competencies, And Experience
Five years dental or medical billing experience. Certified Dental Coder status is helpful in this position.
