The Membership Outreach Specialist provides oversight in all daily membership operations. This includes monitoring membership workflows, timely responses to members inquiries and the execution of recruitment and retention campaigns. This position will also serve as a subject matter expert on membership policies and functions in the VVA database, and any other platforms or applications. The Outreach Specialist will assist the Membership Director with the development of recruitment, retention, and engagement activities, including preparing and analyzing membership reports.
Reporting and Relationships
Reports to and is under the direct supervision of the Membership Affairs Director. This is an exempt position.
Skills, Knowledge, Abilities, And Experience
This position requires an advanced level of database entry skills and intermediate level computer skills. Proficiency in database management programs, Microsoft 365 and accounting applications. Detailed oriented, organized, self-starter, with the ability to prioritize workload. The ability to analyze and interpret data and solve practical problems. Excellent customer service and communication skills; strong analytical and critical thinking skills.
Education And Experience
Bachelor’s degree required: Business Administration, Communication, Marketing or related fields
2-5 Years Of Related Experience
Knowledge of Customer Relationship Management (CRM) software systems; preferably iMIS
Duties And Responsibilities
Acts as a liaison between an organization and its members, processing applications, providing information, handling requests, coordinating special events, and oversight of new membership campaigns
Actively “cold calling” chapters and members on profile information updates
Assist membership director in developing member retention communications and strategies
Responsible for entering and maintaining data in iMIS database
Manage routine database maintenance to include quality assurance, accuracy, attention to detail, data archiving, and monthly system closeouts
Resolve discrepancies in a timely manner and report unresolved discrepancies to supervisor
Update addresses for the VVA Veteran, membership cards and renewal notices for both VVA and AVVA
Answer phone calls and respond to inquiries in a timely manner
Manage mass communication to database users including phone calls and emails
Conduct scheduled and ad-hoc database queries and exports from Membership databases and other data sources
Receive, review, and update Vendor data change requests following defined procedures (NCOA/NextGen)
Monitoring Reports inboxes and responding with solid grammar/writing skills
Conducts data entry projects as assigned to make quality assurance updates to individual and chapter records
Generate and process database queries, develop reports, updates key metrics, and conduct other tasks in support of the Membership Affairs department
Provide back-up administrative support to the daily operations of the Membership Affairs department; not limited to phones, emails and deliverables
Help organize and participate in Board Meetings and Conferences
Notify the appropriate person of new state president information
Update Chapter Locator on the VVA website with any chapter changes
