Position: Company Manager

Reports to: General Director & CEO

FLSA Status: Exempt

Employment Status: Full-time

Role Description

The Company Manager reports to the General Director & CEO, and works closely with both the artistic and administrative teams, as well as the board. They will coordinate logistics to support day-to-day artistic and administrative operations as well as serve as board liaison and events coordinator. They contribute to the Florentine Opera’s mission in practical and meaningful ways, and have a strongly structured and detail-oriented approach. They excel at individual work, and understand how their efforts impact the broader company. This role is particularly deadline-driven, and requires reliably on-time responses and deliverables with heavy attention to details.


RESPONSIBILITIES


Executive

  • Inform and uphold the values and operational direction of the company.
  • Serve as Board Liaison (prepare board packets, help schedule meetings, take minutes, schedule onboarding and candidate interviews, etc).
  • Assist the General Director & CEO with scheduling and administrative tasks. Support the Development team in facilitating the General Director’s relationships with major donors and the Board of Directors. Work closely with the GD/CEO to ensure total alignment in priorities, and bring the most critical issues/topics/deliverables to their attention.
  • Support company-wide initiatives as a project manager, to facilitate information sharing and timeline adherence, and flag any initiatives that need to be adjusted.


Artistic

  • Manage artistic and production department travel, housing, and transportation. Additionally, prepare itineraries and welcome packets for company members: performers, creatives, and guests.
  • Work with the Box Office and Database Manager to process comp tickets and dress rehearsal ticket requests.
  • Manage the audition application process and occasionally on site coordination.
  • Backup support for multiple teams with contracting and organization as able (education tour planning, for example). Support the education manager with supervision/coordination of dancers, supers, and children on occasion for a main stage show.

Administrative

  • Handle event operations and execution, including cast gifts/parties and staff celebrations. This includes Al Fresco, donor events and receptions, Florentine Gala and Pasta & Puccini, as well as managing the budgets and timelines for each (in coordination with the development and marketing teams).
  • Create and maintain a system for historic records and an archive.
  • Open mail and distribute appropriately, documenting mailed payments as part of the payment processing team.
  • Master designated office systems (Kanbanchi, Google Workplace, event books, meeting note taking, etc).
  • Serve as the primary point of contact with building management for the administrative offices.
  • Maintain office supplies, ordering as needed for the administrative office.


As the business evolves, so may this role. These duties may change as company leadership identifies the need at any time.


Qualifications & Skills

  • Bachelor’s Degree. Education in Fundraising, Business Administration, Arts Administration, Nonprofit Administration, or related fields preferred.
  • Experience in tracking expenses, logistical planning including arranging and managing travel and accommodations.
  • Excellent interpersonal skills; ability to interact with a diverse group of people, personalities, ages, and backgrounds on both a professional and personal level. Establish and maintain effective working relationships with staff, Board members, volunteers, community groups, and more.
  • Ability to handle conflict as well as sensitive and confidential information comfortably while maintaining professionalism. As part of a welcoming and creative organization, the Company Manager will be a generalized problem solver that is highly collaborative, can maintain a positive outlook, and demonstrate leadership and prioritization skills.
  • Ability to respond to many requests in a timely manner, and communicate effectively with internal and external audiences to accomplish goals that touch multiple areas of the company.
  • Persuasive communicator with strong verbal and written communication skills and excellent presentation skills.
  • Self-starter, able to work independently under limited supervision while being an integral part of the team. Ability to plan, schedule, prioritize, coordinate, delegate, and manage multiple work activities.
  • Working knowledge of event management.
  • Proficient user of MS Office, Adobe suite, Google workspace, Kanbanchi. Or ability to quickly learn new software.
  • Flexibility regarding work assignments and work hours to include some evening and weekend events as needed.
  • Passionate about opera and/or the performing arts.


Work Conditions

  • The job sometimes requires six-day work weeks, as well as evenings during rehearsals and performances.
  • Ability to work in an office environment 3 days a week, and to secure transportation to the various locations where we work. Sitting and standing for extended periods of time.
  • Ability to operate a computer keyboard, mouse, and to handle other office equipment, and to transport/set up keyboards and other musical equipment (carry up to 30 pounds)


Salary and Benefits

The Company Manager is a full‐time exempt position (salary $48,000-$53,000). The Florentine Opera offers generous benefits and an excellent working environment, including:
