POSITION OBJECTIVE

The Credit Manager is responsible for overseeing the credit granting process at the hotel. This includes minimizing hotel bad debt losses by maintaining and enforcing the corporate credit policies, assessing credit worthiness of potential customers, processing invoices for guests / groups, compiling and maintaining accounts receivable records, and responding to AR inquiries.

Essential Job Functions

  • Maintain accounts receivable processes and organization systems
  • Set up and maintain orderly client files.
  • Coordinate collection of group deposits, including preparing deposit invoices. Ensure sufficient deposits are collected before the event.
  • Review and approve direct bill applications (with the DOF).
  • Review banquet checks daily for accuracy along with conference services
  • Organize and produce invoices to be sent to groups/clients in a timely manner.
  • Handle group billing disputes and guest billing inquiries.
  • Follow up on invoices sent and/or collection calls on outstanding balances.
  • Monitor Guest Ledger and AR Ledger daily
  • Prepare and gather third party group commission data for processing.
  • Reconcile the Encore AV daily and monthly billings to ensure complete revenue capture by the hotel.
  • Hold weekly meetings with the Sales & Conference Services Teams.
  • Attend weekly resume meeting
  • Manage and reconcile all credit card chargeback activity
  • Post check and wire payments in PMS system
  • Assist with monthly inventories.
  • Assist with month end closing procedures as directed by the ADOF/DOF.

Requirements

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the requirements of the hotel:

  • Assist in other areas of accounting (i.e. payroll, income audit, accounts payables)
  • Assist in training new managers on billing procedures, PMS systems, etc…
  • Additional duties as necessary and assigned

Education/Experience

  • Two to four year college degree or equivalent education / experience.
  • Strong Excel and computer skills required.
  • Previous accounting experience required. Experience in hospitality a plus.

Requirements

  • High School diploma or GED, Bachelor’s Degree preferred.
  • Two to five years’ experience in a hotel environment, Acctg/Finance preferred.
  • Must be able to handle a high workload volume with organization and control.
  • Ability to solve problems and make rational decisions
  • Good communications skills, both verbal and oral.
  • Ability to prepare and analyze data, figures and transcriptions prepared on and generated by computer.
  • Microsoft Excel skills intermediate proficiency.
  • Working knowledge of hotel accounting systems, ie. Opera.
  • Ability to clearly and pleasantly communicate both verbally and in writing in English with guests, management and co-workers, both in person and by telephone.
  • Ability to work cohesively with co-workers both within and outside of your department.

Must be able to work effectively in a stressful environment, communicate with others, effectively deal with other co-workers and if applicable, customers, and accept constructive criticism from supervisors. Must have flexible availability including weekends and holidays (as necessary).
