Medical Assistant Lead

The Medical Assistant Lead is responsible for the supervision of all medical assistance, the daily clinical operations, and maintaining efficient patient flow and optimal quality care. This position works with physicians, staff, patients, public and external agencies. This position is responsible for training new and existing medical assisting staff and provides support to the Center Nurse Manager.

Administrative

Duties and responsibilities

  • Supervise and train medical assistants and support staff, including onboarding and orientation of new hires.
  • Ensure departmental competency through training, skills evaluation, and annual assessments.
  • Conduct daily, weekly, and monthly checklists for medical assistants.
  • Document and maintain clinical records in compliance with standards and regulations.
  • Identify and report incidents and patient complaints according to established protocols.
  • Support the development, implementation, and monitoring of clinical policies and procedures to ensure compliance with local, state, and federal regulations.
  • Monitor and track follow-ups for ED and hospital discharges, abnormal Paps, and mammograms.
  • Adhere to and ensure departmental compliance with HIPAA regulations for patient confidentiality.
  • Complete other related duties and projects as assigned.

Clinical

  • Perform Point-of-Care (POC) tests, and schedule screenings within standing orders and training scope.
  • Prepare patients for examinations and assist providers with various medical procedures.
  • Assist with vaccine coordination and train MAs with vaccine inventory and transfer.
  • Assist Nurse Manager in overseeing and maintaining quality assurance of dispensary logs and storage.
  • Administer routine laboratory tests and medications as directed by providers.
  • Call patients and follow up with high-risk referrals to address gap in care.
  • Model appropriate phone etiquette and utilization of translation service.
  • Attend staff meetings, weekly back-office meetings, and training.
  • Coordinate referrals and diagnostic testing with healthcare providers
  • Enter documentation into the electronic health system (data entry and charting).
  • Assist the Providers with direct patient care, form completion, durable medical equipment supplies, abnormal lab follow-up, medication refills and in-basket management.
  • Serve as the liaison between the medical staff and patients to ensure quality care and patient satisfaction

Education & Experience

  • Associate degree in medical assisting.
  • Five years or more of outpatient/ambulatory clinic experience as a medical assistant
  • Medical Assistant certification required.
  • Two years supervisory experience.
  • Experience with Epic EHR highly desired

Knowledge, Skills, & Abilities

  • Proficient in clinical terminology and normal vital sign ranges.
  • Competent in medical assistant program skills, including administering medications, injections, venipuncture, immunizations, specimen collection, accurate vital signs, and hygiene.
  • Proven ability to lead and motivate a team.
  • Excellent communication, interpersonal, problem solving and customer service skills.
  • Fluent in English (verbal and written).
  • Bilingual in Spanish, Vietnamese, Farsi and/or Mandarin is desired but not required.
  • Possession of a valid California driver's license, current auto insurance, and an insurable driving record as per agency policies.
  • Demonstrated organization and time-management skills.
