Required Qualifications

  • High school diploma or equivalent.
  • Experience using computer programs like Word, Excel, Access and Gmail with the capacity to learn other technical skills.
  • Strong organizational skills to manage high volumes of incoming and outgoing mail
  • Professional demeanor and strong customer service skills to work with a large number of faculty, staff, students, and third-party vendors.
  • Must be detail oriented and adept at multi-tasking.
  • Interest in understanding and supporting John Carroll’s mission to inspire individuals to excel in learning, leadership, and service in the region and in the world.

Preferred Qualifications

  • 1-2 years experience in a Mail room center setting.

Duties And Responsibilities

  • Receiving and Sorting: Collecting incoming mail and packages, sorting them based on recipients or departments, and ensuring timely delivery.
  • Outgoing Mail: Processing outgoing mail and packages, including postage, labeling, and coordinating with shipping carriers for delivery.
  • Mail Tracking: Implementing systems to track incoming and outgoing mail and packages, ensuring accountability and timely delivery.
  • Customer Service: Providing assistance to students, faculty, and staff regarding mail-related inquiries, addressing concerns, and providing solutions to delivery issues.
  • Equipment Maintenance: Overseeing the maintenance and operation of mailroom equipment such as postage meters, sorting machines, and package scanners.
  • Compliance: Ensuring compliance with postal regulations, college policies, and security protocols related to mail handling and delivery.
  • Inventory Management: Managing supplies such as envelopes, packaging materials, and postage stamps to ensure adequate stock levels for mailroom operations.
  • Collaboration: Collaborating with other departments, such as facilities management and IT, to address mail center needs.
  • Budget Management: Monitoring and managing the budget for mailroom operations, including expenses related to equipment, supplies, and postage and shipping cost.
  • Supports and provides occasional coverage to the copy center.
  • Supervise undergraduate work study students for the department. Oversee that projects are done correctly and in a timely manner.
