Job Summary: The Operations & Welfare Assistant is responsible for supporting the operations team with the delivery and welcome of our international students and their programme. They will manage the reception and work with the operations manager and programme coordinator to ensure bookings (activities, coaches and similar) are organised. They will also be part of the duty team, responsible for the welfare of our students and management of the emergency phone (on a rota with other team members and paid at an additional rate).
Accountabilities:
Support the reception desk and manage any incoming calls
Manage the main daily and weekly operations board and agenda in the office
Support the booking of activities and communication with local suppliers, ensuring the schedule has correct data and the checklists for bookings are completed
Create timetables and transfer documents for students
In Summer: be the main office point of contact regarding the management of individual students
Ad hoc support of tasks for delivering group stays
Safeguarding:
Support the processes needed to adhere to British Council requirements in the operations department
Receive training up to Safeguarding Level 1, with informal training to Level 2, and contribute to the welfare team.
Be part of the duty and welfare team by managing the out-of-hours emergency phone on a rota and leading arrivals in Exmouth coach park, coordinating hosts to collect students, when on shift.
Hours:
37.5 hours a week for the office based role
Usual hours of work: Monday to Friday
Weekend work may be required during peak season. Please note that extended holidays (more than a week) are discouraged during peak season (April, June, and July) unless discussed otherwise.
Duty phone to be shared on a week/ weekend shift basis.
Remuneration In addition to the annual salary:
£200 for any weekend managing the duty phone
£20 per night for duty phone management
£30 for every arrival, £15 for every departure when on duty phone shift
