As our Executive Assistant you have full responsibility for a smooth coordination and support of the CEO and other members of the Senior Leadership Team (CFO and CHRO) and their administration. You perform a range of secretarial-, administrative-, and general support activities to ensure effective and efficient execution of the executive agenda.

The position is based in our Headquarters in The Hague. 

 

YOUR KEY RESPONSIBILITIES:

  • Calendar Management: Diary management for executive management and arrange internal and external meetings as required, across multiple time zones. Act as a ‘gatekeeper’ for diary and pro-actively ensure diaries do not have clashes. Appointment and meeting coordination, meeting room reservations, organization of conference calls and executive management meetings.
  • Correspondence & Communication: Prepare and manage correspondence, take clear messages, transfer calls, assess urgency, answer questions, and follow up. Prepare global & local Town Hall meetings together with Global Corporate Communications. 
  • Travel Arrangements: Make travel arrangements in cooperation with the travel agency and in line with the HSSEQ rules and regulations. Arrange visas in cooperation with the visa agency and manage expense reimbursement. 
  • Document Management: Manage and track in- and outgoing documents, maintain records and ensure the filing of relevant (confidential) information. Perform wide variety of administrative support activities, which require the handling of business-sensitive and confidential information. Handle administrative tasks in a professional way (lay-out, scanning, printing & archiving): correspondence, legal documents, and contracts.  
  • Information Provision: Operate as a first point of contact for manager/department concerning questions of employees, clients, and relevant stakeholders. Liaising with a wide range of internal and external contacts at all levels, including senior executive. 

 

WHO YOU ARE:

  • You have obtained a Bachelor degree;
  • 5-7 years of working experience in executive support roles in an international environment;
  • Experienced in working with Microsoft Office;
  • You know better than anyone how to plan and organize;
  • You are accurate, even when you deal with pressure or tight timelines;
  • You feel pragmatic, assertive and considerate at all times and occasions;
  • Fluency in English, written and spoken, is required
