Job Description

This position will support all sponsored research projects from the point of negotiating the award through close out. Within the Research Office, fund codes 201 and 209 are supported and other fund codes (211, 212, etc.) are supported based on departmental policy.

Early Award Period

  • Review funded proposals and interpret contracts and other awarding documents to determine budget, effort commitments, subcontracts, invoicing, reporting, and all pertinent information.
  • Assist the Principle Investigator (PI) in developing a revised budget as needed.
  • Work with PI and APK Administration to determine effort and pay, course buyout, and/or any additional paid effort policies.
  • Work with Contracts & Grants (C&G), Division of Sponsored Programs (DSP), Cost Analysis (CA), funding agencies, and the PI as needed to resolve any inconsistencies, problems, or errors in the final award.

Mid Award Period

  • Routinely review and actively communicate with PI’s on expenditures, including personnel and subcontracts for allocability and appropriateness following sponsor, state, UF, college and department guidelines to avoid disallowed expenses or cost overruns.
  • Coordinate with departmental and research staff to facilitate modifications to awards and projects, including budget transfers, no cost extension (NCE), adjusting budgets in funding, change in terms and conditions, IRB/IACUC, personnel, etc.
  • Complete cost transfers and JEs (charge corrections) in a timely manner as appropriate.
  • Serve as liaison with C&G and PI to ensure revenue is received in a timely manner when invoicing by C&G is triggered by a deliverable.
  • Provide information to PIs on effort commitments and pay received to assist with faculty effort certification.

Late Award Period

  • Analyze award spending pattern and work with PI as necessary to ensure funds are appropriately expended in the final months.
  • Submit sponsor requests for carryover to C&G and process in UFIRST.
  • Coordinate with PI for sponsored reporting requests requiring financial data.

Proposal Development

  • This position will coordinate and serve as a back-up in proposal submission with the Research Office for UFIRST.

Department Responsibilities

  • Award management of research related awards not in 201 or 209 fund codes such as IDC, etc.
  • Routine reporting.
  • Coordinate with APK Administration for processing of sponsor research funded payroll appointments.
  • Coordinate with UF International Center for processing of visiting scholar requests.
  • Other duties as needed to support departmental research.

Minimum Requirements

Bachelor's degree; or an equivalent combination of education and experience.

Preferred Qualifications

  • Knowledge of 9 month and summer months pay structure.
  • Experience in PeopleSoft, MS Office, myInvestigator, enterprise analytics.
  • Critical thinking is essential
  • Ability to read complex policy documents, interpret, and provide policy advice for postaward activities.
  • Communicate effectively and courteously, both verbally and in writing.
  • Ability to use program solving techniques, use good judgement, set priorities and work under deadline.
  • Strong customer service and team-centric skills.
