Axle is seeking a Management Analyst to join our vibrant team at the National Institutes of Health (NIH) supporting the National Institute of Allergy and Infectious Diseases (NIAID) located in Rockville, MD.

Summary

Overall Position Summary and Objectives

To provide program operations support for the Therapeutics Research Program branches: Complications and Co-Infections Research Branch and Laboratory and Clinical Sciences Branch.

Deliverables

  • Work products and documents related to coordinating a wide range of logistical activities supporting CCRB and LCSB documents related to the management of CCRB and LCSB chief calendar schedules. - Ad-Hoc
  • Work products and documents related to assisting in the collection, compilation, and distribution of relevant scientific literature and related to the development and distribution of meeting materials (agendas, summaries, and/or minutes) for a variety of programmatic meetings. - Ad-Hoc

Work Details

  • Receives meeting requests and schedules as appropriate. 1
  • Coordinate travel packages for the TRP Office of the Director (OD) personnel. 2
  • Provide meeting coordination for TRP events (e.g., recurring internal staff meetings, applicable workshops, seminars, guest speakers and other related meetings); reserve meeting space and equipment; prepare and distribute agendas and meeting summaries or minutes as appropriate. 3
  • Assist in TRP OD portfolio tracking. 4
  • Prepare and coordinate travel authorizations for CCRB and LCSB staff, to include travel orders/authorizations, advances, and vouchers; assist others as appropriate.
  • Keep CCRB and LCSB staff members informed of pending issues, deadlines, and open action items relevant to each branch.
  • Assist in the collection and storage of critical CCRB and LCSB documents.
  • Prepare and distribute documents and reference materials for meetings that includes recording key minutes, discussion decisions, and action items from meetings organized by TRP OD as requested; and centrally stores documents.
  • Develop and maintain SharePoint portal sites for TRP; log attendance at SharePoint trainings.
  • Assist in the collection, compilation, and distribution of relevant scientific literature.
  • Assist federal staff with creation and updates to TRP Standard Operating Procedures (SOPs).
  • Serve as backup/alternate coordinator for the Clinical Science Review Committee (CSRC) meetings.
  • Manage and maintain the calendars for TRP Office of the Director (OD) personnel (Director, Deputy Director, Associate Director, Program Manager), actively understanding priorities and proactively resolving meeting conflicts.
  • Respond to requests from senior officials and staff for information from multiple sources; coordinate and assemble data to respond to inquiries from senior management.
  • Coordinate all activities for interviews related to new job applicants in TRP.
  • Provides analysis and advisory services regarding management functions.
  • Assist in the collection, compilation, and distribution of relevant scientific literature.
  • Prepares a variety of management and administrative studies to analyze and evaluate internal procedures, policies, processes, and systems for the purpose of improving efficiency.
  • Provide meeting coordination for CCRB and LCSB events (e.g., recurring internal branch meetings, applicable workshops, seminars, guest speakers and other related meetings); reserve meeting space and equipment; prepare and distribute agendas and meeting summaries or minutes as appropriate.
  • Prepare and distribute documents and reference materials for meetings to include recording key minutes, discussion decisions, and action items for relevant CCRB and LCSB meetings; and centrally stores documents.
  • Assist federal staff with creation and updates to TRP Standard Operating Procedures (SOPs) and other procedure documents such as resource guides and work instructions.
  • Reviews and comments on new or proposed changes to existing policies, procedures or systems.
  • Solicit and collate branch responses to data calls and inquiries from senior managers (e.g., NIH, NIAID, DAIDS, etc.).
  • Prepares reports in the areas of budget, procurement, HR, travel, etc. Assist the TRP Program Manager and DAIDS Administrative Officer (AO) in the development of CCRB and LCSB budget estimates and tracking.
  • Enter purchase orders into the AMBIS system.
  • Reviews policy and regulation that governs the activities performed in the program.
  • Research and review institutional policies applicable to operations.
  • Prepares reports and presentations for meetings. Attend routine staff and business meetings for awareness and to take notes for distribution.
  • Researches and suggests developing areas of management policy.
  • Manage and maintain the calendars for the Complications and Co-Infections Research Branch (CCRB) chief and the Laboratory and Clinical Sciences Branch (LCSB) chief, actively understanding priorities and proactively resolving meeting conflicts.
  • Receive meeting requests and schedule as appropriate.
  • Maintain SharePoint sites for CCRB and LCSB; assist in development and maintenance of other TRP (Therapeutics Research Program) SharePoint sites.
