Job Description

Position Summary

The Editorial Assistant provides administrative and editorial support for CSWE Press, the Journal of Social Work Education (JSWE), and other CSWE publications. The Editorial Assistant is responsible for essential tasks to include coordinating the peer review process and preparing final manuscripts for production. The successful candidate will have strong organizational skills, demonstrated attention to detail, and be intellectually engaged and curious, with an excitement for books and publishing. The incumbent will play an important role in supporting daily operations of the publications unit and includes a combination of administrative and/or editorial tasks.

Essential Duties And Responsibilities

CSWE Press

  • Prepares and tracks manuscript files through various stages of production, including peer review, copyediting, and design.
  • Prepares and/or maintains project schedules, and tracks workflow to those schedules.
  • Tracks initial peer review of selected proposals and manuscripts and manages payment of honoraria.
  • Submits new and maintains backlist metadata on Bowker, Amazon, and the CSWE website.
  • Obtains Cataloging-in-Publication data, deposits new books with Library of Congress, and registers copyright.
  • Solicits and secures endorsements for book covers and website.
  • Distributes published books to authors, contributors, peer reviewers, and blurbers.
  • Copyedits and proofreads materials as assigned.
  • Maintains onsite library of CSWE Press books and archival information.

JSWE

  • Facilitates the manuscript submission and review process via the ScholarOne online submission system.
  • Maintains communication with and onboards authors to ensure manuscript submission adherence to our submission guidelines.
  • Reads manuscripts for quality assurance and proofreads articles as assigned.
  • Shepherds peer review process, including approving manuscripts that qualify for peer review, matching manuscript submissions with appropriate reviewers, and recruiting and retaining reviewers.
  • Prepares manuscripts for production via our publisher, Taylor & Francis.
  • Corresponds with reviewers and authors regarding submissions, changes in policy, and updated personal information.

Other

  • Provides onsite administrative support for CSWE Press and JSWE staff.
  • Processes and prepares invoices for signature and payment.
  • Circulates contracts and other documents for electronic signature via the agreement management system.
  • Maintains CSWE Press and JSWE webpages.
  • Prepares and packs appropriate materials for CSWE and other industry events.
  • Attends and provides support for any assigned tasks at CSWE’s annual conference.
  • Other publishing and editorial duties as assigned.

Qualifications

QUALIFICATIONS, KNOWLEDGE, AND SKILLS:

  • Bachelor’s degree in English, Journalism, Communications, or a related field preferred; Bachelor’s degree in any field required.
  • Minimum of one (1) – three (3) years of office and/or workplace experience required; experience in an editorial or publishing environment preferred.
  • Proficiency with Microsoft Office Suite to include: Word, Outlook, Excel, PowerPoint required.
  • Working knowledge of Adobe Creative Suite and HTML preferred.
  • Proficiency in APA style (Publications Manual of the American Psychological Association, 7th ed.) preferred.
  • Familiarity with content management systems and best practices for developing and maintaining website and digital content preferred.
  • Experience using ScholarOne, eJournalPress, or other online submission and review system software preferred.
  • Strong organizational skills and attention to detail required.
  • Strong verbal and written communication skills required.
  • Ability to manage multiple tasks simultaneously required.
  • Ability to prioritize and meet deadlines in a busy work environment required.
  • Ability to follow through and complete assigned tasks required.
  • Ability to work both cooperatively and independently required.

Additional Information

The office is located in Alexandria, Virginia. CSWE is a hybrid work environment.

Compensation

  • The salary range for this position is commensurate with experience ($49,000-55,000 annually).

ADA SPECIFICATIONS

This position is primarily sedentary and is performed in an office setting. The physical demands of this position are limited to the ability to lift up to 30 lbs. and bend, stoop, and carry materials.
