Performs general administrative support to the Continuing Education Dean to ensure efficient department operation and act as a point of contact for internal and external stakeholders and constituents within assigned areas of responsibility.

Minimum Education/Training/Experience

Minimum of thirty (30) college credit hours; however, fifteen (15) of the required thirty (30) credit hours may be substituted with one (1) year directly related work experience. If work experience is used as a substitute for the minimum education requirements, it cannot also be used to qualify for minimum work experience.

Three (3) years experience in providing administrative support to multiple programs.

Preferred Education/Training/Experience

Associates Degree

Four (4) years experience in providing administrative support to multiple programs.

Minimum Knowledge & Skills

  • Performs specialized administrative support for planning, organizing, and coordinating program activities.
  • Operating standard office equipment; reading and explaining rules, policies, and procedures
  • Use of Microsoft Office computer applications involving the design and management of databases or spreadsheet files and the development of special report form
  • Communicating with students regarding schedules, registrations, and progress in class.
  • Serves as a liaison between students, staff, the community, and the College in relation to the department.
  • Supports the Dean in managing the department’s Learning Management System.

Preferred Knowledge & Skills

  • Performs advanced, specialized administrative support work related to planning, organizing, and coordinating program department activities including grants administration.
  • Understands college tuition payment and reporting procedures.
  • Understanding WIA funding and workforce labor market data.
  • Assisting with program outreach activities.
  • Advanced skills in the use of MS Outlook, Word, Excel, PowerPoint

Job Duties

  • Must have excellent oral and written communication skills to communicate effectively with a diverse, multicultural college community.
  • Acts as a point of contact for internal and external stakeholders and constituents within assigned area of responsibility.
  • Performs specialized administrative support work related to planning, organizing, and coordinating program activities.
  • Enters, edits, and retrieves data and prepares periodic or special reports, using a computer system and following established formats and menus
  • Serves as liaison between students, staff, the community, and the College in relation to the program and its activities
  • Arranges meetings by notifying attendees, reserving rooms, and making lodging and/or meal arrangements
  • Assists program coordinators and/or other departmental staff in accounting for program funds, performance standards, etc.
  • Performs such office support activities as opening and distributing mail, processing outgoing mail, making travel arrangements, and preparing requisitions.
  • Perform specialized administrative support for customized Contract Training.
  • Perform specialized administrative support for program grants.
  • Registering continuing education students
  • Responsible for ensuring the upkeep of office equipment, including computers, copy machines, and fax machines, etc. Order and maintain inventory of office supplies.
  • Performs other duties of a similar nature or level.

Physical Requirements

Positions in this class typically require stooping, crouching, reaching, standing, walking, fingering, talking, hearing, seeing, and repetitive motions.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

Minimum Salary Range $40,081

Mid Point Salary Range .

Maximum Salary Range $50,101
