Payroll Coordinator

Position Summary

The Payroll Coordinator is responsible for the accurate and timely processing of payroll for all company employees. This position ensures compliance with all applicable federal, state, and local payroll laws and regulations, and provides excellent customer service to employees regarding payroll matters.

Essential Duties And Responsibilities

  • Payroll Administration
  • Maintains employee payroll records in ADP software.
  • Ensures biweekly payroll is accurate and electronically transmitted to ADP.
  • Downloads data, processes reports, and distributes paychecks.
  • Assists with the management of contributions for 401(k), health savings accounts, and deferred compensation plan, in addition to processing deferred compensation plan distributions.
  • Prepares and uploads payroll general ledger entries.
  • Reconciles payroll-related general ledger accounts.
  • Prepares labor allocation and job cost entries.
  • Assists with allocation of invoices for life, medical, dental, and vision insurance premiums.
  • Assists with the reconciliation of cafeteria plan deductions and reimbursements.
  • Assists with preparation of quarterly SUTA returns.
  • Assists with processing of ACH files for necessary cash transfers as needed.
  • Relationship Management
  • Actively cooperates with all internal service delivery partners to provide optimal service to customers.
  • Address and resolve payroll-related inquiries and issues from employees.
  • Assist employees with understanding their paychecks, deductions, and other payroll matters.
  • Business Management
  • Coordinates and maintains procedures for assigned processes.
  • Acts as backup to other accounting positions as needed.
  • Year-end file maintenance and storage for assigned processes.
  • Appointed member of the Privacy Work Group in regard to compliance with HIPAA Privacy Rules.
  • Other duties as assigned:
  • Assist with special projects as needed, such as system implementations, process improvements, or audits.
  • Collaborate with HR and Finance departments on related tasks and projects.
  • Perform other related duties as assigned.

Requirements

  • Associate’s degree in Accounting preferred.
  • 3 years of payroll experience preferred.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred but not required.
  • Experience with payroll software (e.g., ADP (preferred), Workday, Paychex) and timekeeping systems.
  • Proficient with Microsoft Office Suite, particularly Excel.
