Community Outreach Team Assistant

Position reports to: Community Outreach Director

Status: Non-exempt; Part-Time Hourly Position

Qualifications

Work Experience:

  • Minimum 1 year of administrative experience including file management, data entry, and spreadsheet generation and maintenance
  • Minimum of 1 year of experience communicating (orally and in writing) and interfacing with volunteers or those in a service-related field to provide information and assistance


Education: Bachelor’s degree preferred

Licensure/Certifications: N/A

Essential Skills And Requirements

  • Proficient working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Experience managing donor databases; Raiser’s Edge NXT experience a plus
  • Excellent customer service skills for interface with supervisor, team, volunteers, vendors, and office visitors when handling front desk reception duties
  • Proven excellence in attention to detail, time management, prioritization, file management and organization skills
  • Demonstrated ability to contribute and succeed in a goal-oriented, team environment
  • Demonstrated ability to manage multiple tasks and meet deadlines and priorities
  • Demonstrated ability to communicate effectively with a diverse population including management, coworkers, volunteers, board members, donors, and organizational stakeholders
  • Proven aptitude for independent work towards task completion and goal achievement


Essential Job Functions

  • Provide support and assistance to the Community Outreach Team
  • Assist with Advocacy University (AU) as needed
  • Responsible for maintaining the volunteer data in Raiser’s Edge NXT – this includes entering, updating, and correcting data for all potential volunteers, volunteers in training, and special project volunteers as needed. Provide queries and reports as needed
  • Process CAA Background checks, ensuring paperwork is filled out correctly and in its entirety
  • Maintain and organize all files on volunteers attending Advocacy University


Other Job Functions

  • Assist the Community Outreach Director and provide administrative support as needed
  • Assist Special Projects in varying tasks, as needed, in the planning and execution of projects and activities/events
  • Provide break/lunch coverage for the reception area a minimum of one day per week and additional coverage when needed

Work Characteristics

Physical Requirements:

  • Must lift up to 30 pounds
  • Must sit at PC for extended periods of time


Additional Factors

Must have valid Driver’s License, valid auto insurance, and personal auto

Work Hours and Conditions

  • 24 to 27 hours per week
  • Hourly rate: $20
  • Availability to work evenings and weekends with advance notice
  • Load and drive personal vehicle for events
  • Drive to and pick up items at vendors as needed and on short notice
  • Work offsite as needed
