The Opportunity
We are currently seeking a Legal Coordinator to support our Trusts & Estates transactional practice. This position will have a variety of administrative and transactional management responsibilities. The ideal candidate will have excellent communication and technical skills and thrive in a team environment, while still possessing initiative and drive.
Key Responsibilities
Prepare and edit correspondence and other legal documents from written and oral drafts and forms, draft standard correspondence, and email communications
Read, scan, and manage incoming mail and emails
Proofread all documents and correspondence for accuracy
Open new matters; maintain electronic files, materials, and databases related to group and client matters
Establish and maintain calendar and deadline reminder systems; utilize Outlook calendar system for reserving of conference rooms and scheduling
Draft requests and responses using forms and templates
Schedule and coordinate meetings with clients, vendors, and outside attorneys
Make restaurant and travel reservations when needed
Process invoices, credit card reconciliations and reimbursements
Prepare and edit PowerPoint presentations and other materials
Perform general office duties such as copying, scanning, and faxing
Perform special projects and other duties as assigned
Essential Qualifications
At least 5 years of experience in a similar role
Superior oral and written communication skills and strong proofreading skills
Must be detail-oriented, organized and able to multi-task, meet deadlines, and work in a fast-paced environment
Proficiency in Adobe Acrobat and Visio is a plus
Maintain and organize data rooms
Ability to think independently and take ownership of projects as assigned
Superior working knowledge of Outlook and Word, including styles and redlining
Experience with iManage and HotDocs strongly preferred
