Job Summary: The Executive Assistant/Office Manager is responsible for maintaining a pleasant work environment while providing administrative support.
Essential Duties and Responsibilities:
Support President/CEO as needed.
Coordinate Company or Staff lunches.
Attend Board, Supervisory Committee, and other meetings as needed to take meeting minutes/notes.
Arrange travel as well as manage travel expenses for board members.
Manage ordering and inventory of drinks, snacks, and other supplies pertaining to employee comfort.
Typing/Editing/Filing and other administrative tasks as needed.
Assist with intra office moves; work space /office and parking assignments
Support planning and execution of special company events
Ensure an organized, clean and attractive office appearance and break rooms
Maintain good working relationships with building property management and vendors
Primary point of contact for building property management, vendors and all office services such as pest control; repairs; HVAC; recycling services; janitorial services; securtiy alarm and Virtual keypad/door access badges; etc
Develop and maintain productive and professional working relationships with executive level staff as well as the Board of Directors (BOD) and Supervisory Committee
Exercise strong attention to detail, ensuring that all communications, deliverables, and assignments are accurate, professional, and audience appropriate
Assist in compiling, distributing, and handling reports, documents, and contracts
Occasionally answer phones
Upholds the compliance requirement of all related federal regulations, including but not limited to; the Bank Secrecy Act and Anti-Money Laundering policies and procedures. Complete annual BSA training requirements as established by SunWest Credit Union
And other supportive duties as needed.
Education and/or Work Experience Requirements:
3 years of executive assistance experience supporting executives or teams
Microsoft 365 and willingness to learn other applications as needed
Punctual, dependable and must be able to work independently with little supervision

Associate’s degree is preferred
Physical Requirements:
Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
Must be able to lift and carry up to 20 lbs.
Must be able to talk, listen and speak clearly on the telephone.
