Accounting Assistant

Position Summary

The Accounting Assistant is responsible for performing a range of accounting and administrative tasks related to the accounts payable/accounts receivable functions. To include, but not limited to receiving/processing and verifying invoices, tracking and recording purchase orders, processing payments, following up on AR, and assisting in payment collection.

Essential Duties And Responsibilities

The essential functions include, but are not limited to the following:

  • Process check requests, expense reports and vehicle allowances.
  • Monitor discount/credits opportunities and apply the discount/credit if necessary and track to make sure all credits have been received and applied. Review purchase order(s) for discrepancies to ensure accuracy of paying invoices, follow-up on purchase order discrepancies and document outcome.
  • Submitting entries for co-op and marketing fund usage with suppliers.
  • Enter and review for accuracy bills for all subcontractor work. Process payments to subcontractors every two weeks.
  • Monitor housewrap penetration reports. Ensure subcontractor is paid for work completed.
  • Perform monthly reconciliations for all vendor accounts.
  • Assist in the mailing and scanning of company invoices to customers via email or USPS.
  • Send out monthly statements to customers.
  • Assist account receivable with outstanding customer invoices.
  • Maintain notary. Notarize and send all lien releases.
  • Order office, safety supplies, and special requests with approval, one time weekly.
  • Buy postage for the company.
  • Maintain company vehicle records (includes Truck # and MVA documentation, EZ Pass allocation, etc.)
  • Annual negotiation and management of facility utilities (propane, etc.).
  • Other AP/AR duties as assigned.

Minimum Qualifications (Knowledge, Skills, And Abilities)

An understanding of accounting principles and basic bookkeeping is required. This includes:

  • Critical thinking
  • Must have strong work ethic
  • Strong organizational ability and a self-starter
  • Excellent attention to detail, professional attitude, reliable
  • Effective communication skills
  • Ability to consistently meet all deadlines

Physical Demands and Work Environment

  • Ability to sit for extended periods of time (majority of the workday).
  • Able to climb stepladder, bend and reach to obtain files from filing cabinets.
