Job Title: Executive Assistant

Role & Responsibilities

Partner Support

  • Calendar Management
  • Travel Management:- Managing Partner Travel Domestic and International (bookings/ Travel Insurances/ Accommodations/ Forex/ Visa)
  • Expense Management - Update Expenses also adjusting the forex amount in Rekonnect
  • Claims:- Update claims on All Sec
  • Time Sheet Management:- Filling time sheet
  • Approvals:- Exit approval/ SAN/ EAF /CAF approval as well expenses and project management approval in system
  • Cab Bookings:- Local and Outstations/ Domestic as well as International
  • Interview Coordination:- Aligning Interviews and coordinating with prospective candidates
  • Billing and collection reminder mails to clients when required
  • Coordination with Bank relation managers for Bank statements as well as finance professionals for statements for visa purpose
  • Entry of all Client contacts in Partners Contact List


Project Management

  • Service request in summit for project WIP, expenditures, project closures, project adjustments
  • Creating Vendors and clients in system before project creation
  • Generating Requisitions / PO for all Assessors of People & Change team for their retainer ship amount and OPEs (more than 20 in a month)
  • Generating requisition/ PO for all Assessors for their International travels along with travel Insurances
  • Generating Requisitions/ PO for the client /Vendors payments
  • Generating EMDs requisitions and PO for Tenders
  • Maintaining Files and documentation relevant to practice as instructed by Partner or Project Manager


Team Support

  • Supporting BPS- Strategy Team/ Transport & Logistics Team in Mumbai in some of their and projects/ BPS- P&C Team in the following:-
  • International traveling- airfares requisitions and PO
  • Travel Insurance requisitions and PO
  • Helping in visa process and creating requisitions and Pos
  • Forex arrangement
  • Coordination in Collection of cheques from clients and Documentation
  • Help in Tender and Proposal submission through creating EMD and Power of Attorney sometime creating SAN
  • Supporting team in creating projects and dumps as and when required
  • Supporting team in supplier and vendor creations
  • Booking and coordination with Hotels Like Hyatt and Four Point for client presentations and team offsite
  • Coordinating/booking Meeting rooms at short notice through our home page as & when required
  • Coordination/ Laisioning with Finance / Rekonnect and Admin Team

  • Compensation is competitive with industry standards
