Description

Sitting within the Operational Services Department, Logistics (along with Guest Operations, Language Services, Accommodation, Transport, and Travel) aims to deliver the most engaging, innovative, and accessible World Cup experience for all athletes, fans, partners, and the community.

THE POSITION

Reporting to the Senior Manager, Materials, the Manager, Logistics Procurement and Dissolution will lead the materials procurement and dissolution strategy for Mundial de Clubes FIFA 2025, FIFA World Cup 2026, and other related events organized by FIFA (events). This strategy focuses on managing materials effectively for a successful tournament, emphasizing sustainability and cost efficiency. The manager will reduce and reuse materials where possible and develop robust dissolution plans to avoid excess items post-tournament, ensuring a seamless and efficient event.

The primary responsibilities of the Manager, Logistics Procurement and Dissolution for the FIFA World Cup 2026 include:

Material Planning

  • Assist in capturing stakeholder needs and material requirements, ensuring all specifications are accurately documented.
  • Work in the Material Planning System or other Material Logistics Database to ensure the FF&E catalog or other related documents are updated.
  • Develop and implement comprehensive procurement and dissolution plans for the events, ensuring the return of materials or efficient and environmentally responsible disposal.

Assets Procured By Other Departments

  • Track and manage assets procured by other FIFA departments, such as IT equipment, promotional materials, gifts, sports equipment, etc.
  • Negotiate with other departments on integrating their assets into the event supply chain, ensuring compatibility and adherence to logistical plans.
  • Coordinate the most effective dissolution of these assets after the tournament, liaising with the respective departments and disposal partners.

Assessing Existing Materials

  • Conduct thorough assessments of existing materials at venues to identify opportunities for reuse and reduction of procurement quantities.
  • Negotiate and manage agreements for acquiring existing materials, ensuring compliance with FIFA regulations.
  • Coordinate with the Venue Logistics team to incorporate existing materials into the overall logistics and distribution plan.
  • Continuously update the inventory of existing materials to optimize their utilization.

Procurement Management

  • Manage the procurement process for FF&E, ensuring compliance with FIFA procurement processes and regulations.
  • Identify potential vendors, negotiate contracts, and manage vendor relationships.
  • Develop and manage the FF&E procurement schedule, ensuring timely materials delivery.
  • Establish and maintain working relationships with vendors to maximize ordering, tracking, and delivering FF&E efficiency.
  • Track and manage assets procured by other FIFA departments, negotiating their integration into the event supply chain.

Logistics Management

  • Oversee the logistics related to the materials, ensuring efficient and timely movement across the Event Supply Chain.
  • Coordinate the receiving, storage, and distribution of FF&E, working closely with the Warehouse and Distribution teams.
  • Monitor and track inventory levels to ensure the needs of all functional areas are met during the tournament.
  • Collaborate with the Venue Logistics team to coordinate venue logistics activities

Dissolution Management

  • Work with Finance, Procurement, and vendors to identify and implement special requirements for returning or disposing of materials, such as recycling or donation programs.
  • Oversee the logistics related to the FIFA World Cup 2026 dissolution phase, ensuring the efficient and timely movement of materials.
  • Coordinate the return or disposal of materials from venues to supplier warehouses or disposal sites.
  • Establish and maintain relationships with disposal and recycling partners to ensure the environmentally responsible disposal of materials.

Overall Responsibilities

  • Manage personnel effectively, ensuring the team's health, well-being, and performance.
  • Foster a collaborative and inclusive team environment, encouraging teamwork and cooperation.
  • Be customer-oriented, understanding and addressing the needs of stakeholders to ensure their satisfaction.

  • During Tournament Times, be ready to work on shifts at the Logistics Coordination Center, actively fulfilling service requests and resolving issues.
  • Be ready for trips to perform site or vendor visits, which may involve physical activities on the ground, such as inventory counts, stock checks, inspections, asset labeling, etc.
  • Support the Senior Manager, Materials, or any other Logistics team member in related tasks and activities such as presentations, calculations, training, document development, meetings, brainstorming sessions, process mapping, etc.

YOUR PROFILE

  • Bachelor’s Degree or similar level of education in Logistics, Supply Chain, etc.
  • Minimum of 2-3 years’ experience within the Supply Chain or Procurement.
  • Experience in Major Events Logistics is a plus.
  • Excellent analytical skills and ability to make decisions independently and within a team environment.
  • Extremely high attention to detail.
  • Team player with a strong customer-service focus, comfortable in upward/downward communication, and wanting to go the extra mile.
  • Ability to present and communicate to audiences in many public/private settings as required.
  • Proven track record in participating in complex projects, multi-tasking, and prioritization of tasks and deliverables.
  • Willing to work to complex, tight, immovable timelines while maintaining a positive attitude, exhibiting patience, persistence, and experience working in a multi-cultural, multi-national environment.
  • Fluent in English. Spanish and/or French proficiency is a plus
  • Proficient in MS Office (Outlook, Excel, Word, PowerPoint, Visio & Project), planning software, and online collaboration tools.
  • Familiar with Microsoft PowerBi: able to get data and create a dashboard.
  • Able to learn new software tools and train others.
